JOB TITLE:   Hotel Marketing Coordinator

ESSENTIAL FUNCTIONS:

  • Conduct property site inspections occasionally as needed.
  • Assist with on-site client event as needed.
  • Coordinate group sales internal documents and operational details.
  • Turnover sheets to key departments.
  • Support Front Desk Agents and Concierge with hotel guests’ questions and guest services as needed.
  • Assist DOSM with creating and distributing promotional and marketing opportunities, along with collateral for the property.
  • Send out all email marketing via MagnetMail
  • Use creativity to help support Teams goal and directive.
  • Additional duties as necessary and assigned.

SUPPORTIVE FUNCTIONS:

  • Support Hotel Director of Sales & Marketing, plus team of 4 sales managers.
  • Coordinate VIP Entertainment clients (reservations, billing, amenities, etc.)
  • In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.
  • Maintain and enhance automation efforts in the Sales and Catering database, in order to increase daily productivity for sales, catering and convention services personnel.  Accurately generate and process all reports that are communicated to Interstate corporate offices.
  • Prepare all monthly sales and catering reports, including but not limited to, SMARTS reports, revenue management, booking analysis and incentive calculation reports for individual and team production, submitting accurate reports in a timely manner.
  • Distribute sales managers’ incentive calculation reports monthly for review, detailing production in each area of the plan.
  • Manage and administrate the ISAC database and group sales backlog to ensure data integrity for accurate reporting, including maintenance of security of confidential material stored in the ISAC database.
  • Maintains work area in a neat and orderly fashion
  • Other duties as assigned by management

REQUIREMENTS:

  • High School Diploma
  • Minimum of two years’ Hotel experience; preferably with Revenue Management or Sales experience.
  • Must be able to speak, read, write and understand the primary language(s) used in the workplace.
  • Must be able to read and write to facilitate the communication process.  
  • Requires good communication skills, both verbal and written.
  • Managing Monthly marketing calendar.
  • Managing Field Marketing efforts.
  • Assist with Creation of Annual Sales & Marketing Plan.
  • Managing relationships and communication with Strategic Partners.
  • Coordinating collateral design and placement.
  • Communicate with outside  advertising agencies on ongoing campaigns.
  • Manage all Email blasts and data collection.
  • Ensure department has sufficient stock of current collateral.
  • Manage advertising contracts, budgets and coding of invoices.
  • Most work tasks are performed independently.  There is minimal direct supervision.
  • Complete knowledge of hotel rooms and meeting related services available to guests.
  • Ability to develop and deliver training.
  • Ability to develop and deliver effective presentations.
  • Desire to participate as part of a team.
  • Present ideas, expectations and information in a concise, well-organized way.
  • Manage time well, correctly prioritizing tasks.
  • Must possess basic computational ability.
  • Prior knowledge and expertise of Starwood Hotels and Resorts systems, including but not limited to Galaxy/Lightspeed, ISAC, IPS, Star Guest, StarCom.
  • Maintenance of filing system in accordance with the Record Retention policy.
  • Preparation of special reports or projects, as requested.
  • Attend all required meetings.
  • Knowledge of and compliance with all Emergency procedures.  Reports unsafe conditions, as appropriate.
  • Must possess computer skills, including, but not limited to, Microsoft Word, Excel, & Outlook.
