Administrative/Finance Assistant
Introduction
Our client is looking for an organized, hardworking and dedicated Admin / Finance Assistant to support their San Jose office location. The individual must be able to manage multiple tasks simultaneously and a strong attention to detail. As the Admin Finance Assistant, you will be an integral part of the team, responsible for assisting with the management of the day–to–day Accounting, HR and Operations Functions. This position reports to the Operations Manager of the San Jose Office.

Accounting:
Bachelor’s degree or two years of relevant experience in administrative, financial management and Human Resource or combination of education and relevant experience.

As the Admin Finance Assistant, you will be an integral part of the team, responsible for assisting with the management of the day–to–day Accounting, HR and Operations Functions. This position reports to the Operations Manager of the San Jose Office.
Main Areas of Responsibilities
Accounting:
- Ensure timesheets are accurately and timely submit each week, review utilization
- Accounts Payable-process checks to suppliers, subcontractors, employee expenses, reconciliation all credit cards and banks statements
- Account Receivable-prepare monthly invoices and work closely with project managers reviewing their project profitability
- Accounts Receivable Collections- mail AR statements and make necessary calls to collect outstanding accounts
- Cash Flow statements
- Journal Entries
- Bank Reconciliations
- Employee Management – including new employee packs, health insurance etc.
- Maintain accurate employee files – resumes, employment application, references, I-9 forms to ensure compliance with all HR regulatory requirements
- New Employee onboarding/separation including update of HR net records
- Support/Administer training and maintain records
- Process biweekly Payroll accurately and maintain vacation schedules
- Onboard new employees into company financial and HR systems
- Oversee the day to day operations and administration for the office including ordering supplies, organizing events, ordering lunches coordinating travel arrangements
- Manage documentation and paperwork and administer multiple databases
- Ad hoc request from corporate offices
Bachelor’s degree or two years of relevant experience in administrative, financial management and Human Resource or combination of education and relevant experience.
- Proficient in Microsoft applications particularly Excel, Outlook, and PowerPoint
- Strong organizational skills to manage multiple tasks and meet deadlines
- Experience with automated accounting programs and systems
- Excellent interpersonal, written and oral communication skills
- Ability to read, write and comprehend English
