Project Development Stage:

* Meet with the Client on site for a scope development meeting to review upcoming projects and assist in scope development. During the scope meeting, give guidance and suggestions to the Client that would steer them away from possible design issues or problems. We are to inform the Client of any code or life safety issues that are discovered during the meeting. We want to aid the Client in developing the best project possible.

* The Site Visit Minutes document is to be filled out completely at the time of the scope meeting. A copy of the Site Visit Minutes is to be distributed to all parties present at the scope meeting.

* Survey the site thoroughly including reviewing existing HVAC system type and equipment location.

* Develop a Rough Order of Magnitude (ROM) estimate for the Client when requested.

* Confirm what items the Client will require submittals on and list them on the Site Visit Minutes document.

Request for Proposal:

* Once the Client has supplied or B&R has produced and received approval of any required drawings or the client has confirmed the accuracy of the scope of work produced by B&R, a formal line item take off, proposal letter and project schedule is to be submitted to the client within 5-working days.

Sub-Contracting:

* Once a purchase order is received from the Client, it is to be forward to the Project General Manager and Business Manager.

* The purchase order is to be compared to the proposal letter for any potential deviation, start dates, completion dates, liquidated damages, etc... Any discrepancies will be addressed with the Client by the Project General Manager.

* All procurement activities are to be completed within 5-days. All Procurement activities include:

o Produce scopes of work for each Vendor required on the project. The scope is to provide the Vendor with full and complete listing and description of all work that is required of the Vendor. The scope of work is to include the CSI section that pertains to the work activates. The scope of work is to include a listing of all drawing sheet numbers, title and date. The proposal is to list the specifications that pertain to the project. Each scope of work that is sent to Vendors is to include the Client's specification and guidelines. This document is found in the server as a PDF file.

o A Sub-Contractor Bid List is to be produced that lists the name of the project, pre-bid meeting date, time and location. It is to list bid due date and time. List all companies to bid the project along with contact person, phone number and e-mail address.

o Once bids are received they are to be reviewed for any exclusions, alternate bids, timing or large variance from anticipated costs or large variances form competing Vendors. A bid validation is to be performed utilizing the Technical Evaluation form. Ensure the Vendor answer all questions on the form. The form is to be sign and dated.

* Project Manager is to track and ensure receipt of all Vendors work releases. A copy of the work release is to be kept in the Project Managers file.

* The Business Manager will submit vendors pay applications to the Project Manager for review, agreement with percentage complete and its release for payment

Active Projects:

* As soon as possible after receipt of the purchase order from the Client, a pre-construction meeting is to be held by the Project Manager and QCQA Manger and with the Client. Items to be discussed include but are not limited to start date, completion date, hours of work, potential disturbances work activities may create for the client, delivery timing of any client supplied items, staging area and dumpster placement location.

* Project Manager is to make site visits daily to review project status, conformance to schedule, conformance to client specifications and design and for over all site safe practice adherence.

* The schedule is to be updated against the base line schedule weekly. If the project is behind schedule or is beginning to loose time, a plan of action is to be developed with the Project General Manager to bring the project back into schedule.

* The Project Manager is to submit any Request for Information (RFI) that may be needed during the course of the project.

* Larger projects will require weekly site meetings with the Client. The Client will determine which projects are to have weekly meetings. The QCQA person of responsibility are to also attend the weekly site meetings. Topics for discussion are status of long lead items, adherence to and review of the updated schedule, information required from client and any submittals that have not been returned approved by the Client

* Once B&R has reached 90% completion, the Project Manager and QCQA person are to walk the project and develop a rough punch list of items incomplete or having deficiencies. Rough punch list items are to be complete in 5 working days or less.

* Once the project is nearing completion, the Project Manager shall request a walk through with the Clients Project Manager. The request shall be made 1-week in advance to allow the Client time to coordinate all parties required to be present. The Project Manager is to review the punch list daily to ensure completeness and meeting or exceeding B&R's expectation. All punch list must be completed within 5-working days unless special circumstance prevent it such as reordering/replacement of a long lead item.

* Project Manager shall notify the Clients Project Manager once the punch list is complete and schedule a walk through for final project sign off.

* Upon final acceptance, the Project Manager shall produce a warranty letter for the Project General Mangers signature. The warranty shall list the date of substantial completion as start date of the warranty. The original warranty shall be submitted to the Clients Project Manager and a copy filed in the proper location of the Project Managers file.

* Once project is complete, the Project Manager is to perform a close out of the project management file. All documents shall be reviewed and assured it is in the file in the proper location. The file will then be archived in the proper file cabinet location.

High School Diploma minimum, some college or Bachelors degree preferred. Minimum of 5 years experience as a commercial or institutional Project Manager. Must be able to operate Word, Excel and Project Management computer programs. Possess good communication and organizational skills.
