Job Description

 

Contracts & Administration: Primary Job Responsibilities

 

·         Manage departmental staff and oversee functional operations within the department related to organizing, managing and maintaining all administrative records and activities involving assets under the management of National Asset Advisors (NAA) and National Asset Mortgage (NAM);

 

 

 

·         Coordinate and oversee generation of all purchase and sale contracts and related documents required by the Company to effect disposition, and other investment, strategies, as directed by the Company’s Executive Management team;

 

 

 

·         Review and assign workflow action for incoming deliveries, including obtaining proper signatures for purchase contracts, and related documents and required property closing documentation and scheduling necessary document review by the Company’s Legal department;

 

 

 

·         Coordinate and schedule closings for properties being sold, including the coordination of communications with third-party realtors, closing agents, title companies or third-party attorneys, representing buyers;

 

 

 

·         Oversee the preparation and transfer of closed property, physical files and collateral, including electronic scanning of all pertinent purchase contract documents, closing statements or other related documentation, purchase applications and any loan-related documentation;

 

 

 

·         Coordinate AMX database entry, and related data maintenance, for disposition transactions involving properties  under contract, in process or under consideration for sale, as directed by the Company’s Executive Management team or its designees;

 

 

 

·         Oversee deed and related transfer document preparation, title transfer and recording for transactions including assets sold on an all cash basis, assets sold via sale of installment contract and those assets for which underlying loans have been paid-in-full;

 

 

 

·         Oversee and maintain central information database containing all necessary entity documentation, asset management agreements, State registrations, partnership documents, powers of attorney and other entity-level or compliance documents related to third-party clients of the Company, for which the Company provides asset management, or related, services;

 

 

 

·         As needed, provide liaison support to members of the Executive Management team for matters related to and administrative operations, contract administration and document preparation, including making available an updated calendar of deadlines for property disposition activities and transfer of newly closed, owner-financed transactions to the proper servicing entity.

 

 

 

 

 

Preferred Job Requirements:

 

·         A minimum of 3 years appropriate managerial-level experience

 

·         Demonstrated training skills

 

·         Demonstrated leadership skills

 

·         Demonstrated communications skills

 

·         Demonstrated customer service skills

 

·         Working knowledge of real estate contract administration

 

·         Working knowledge of owner-financed contract instruments

 

·         Working knowledge of title transfer procedures, title insurance matters and deed instruments

 

·         Previous experience in contract administration and/or administrative operations a plus

 

·         Working knowledge of MS Excel, Word, Access and Microsoft Outlook

 

·         Good analytical skills a plus

 

·         Good organizational skills

 

·         Creative, strategic planning experience a plus

 

·         Dual Report to NAA Managing Director and NAM Chief Operations Manager
