Southern Maine's most trusted and preferred source of non-medical companionship and home care, Home Instead Senior Care, is looking for a RECEPTIONIST/OFFICE ADMINISTRATOR to join the Kennebunk office.
 
The Receptionist/Office Administrator is a key member of the service team as this individual is the first person that callers and visitors encounter. Our company's success depends on a culture that combines professionalism, with service-orientation, excellence, and efficiency coupled with a sincere understanding and empathy for the needs of older adults and their adult caregiver children.
 
Most encounters with the public occur via telephone interactions, though there are in-office visitors, as well. Incoming calls occur throughout the day, and there are ample opportunities for the receptionist/office administrator to perform non-time-urgent tasks &ndash administrative and otherwise &ndash that can accommodate the interrupt-driven nature of phone reception.
 
Primary Responsibilities:
  • Answer every call in a friendly, professional and knowledgeable manner
  • Manage a very busy phone system with ease and confidence (ESI system)
  • Greet each visitor in a warm, respectful and professional way while directing visitors appropriately
  • Maintain an attractive reception area as well all public office spaces 
Secondary tasks may include:
  • Receive, sort, route and distribute voice mail messages, e-mails, mail, faxes, and deliveries. Pick up mail from local post office daily.
  • Order and stock all necessary supplies and materials
  • Manage all vendor relationships: office cleaning, ground maintenance, postage machine, photocopier etc.
  • Provide administrative support to all staff as requested: communicate meeting schedules, maintain staff calendar, order food/supplies for all staff meetings
  • Assist with mailings and prepare marketing, new-hire, and training packets
  • Perform light accounting functions: credit card transactions, AP and AR postings to QuickBooks, prepare bank deposits
  • Other duties as assigned

Requirements 
  • Demonstrated experience as a receptionist/office administrator in a busy office
  • Understand and uphold all required policies and procedures
  • Demonstrate excellent oral and written communication skills
  • Able to build long-term relationships, show empathy and demonstrate discretion
  • Able to work independently and meet all deadlines on a daily and weekly basis
  • Maintain all confidential information
  • Able to demonstrate sound judgment, good listening and decision-making skills
  • Able to effectively and efficiently organize and prioritize all work
  • Must have excellent office skills: phone, fax, and computer skills in Word and Excel
  • Must possess a valid driver's license
