Job Description

SUMMARY

Under general supervision, performs all of the duties and responsibilities required for executing parts orders from customers by effectively completing all tasks required in fulfilling the orders, including assisting the customer to determine necessary parts, order entry, shipping procedures and communicating information in a timely basis to customers and other stakeholders.

ESSENTIAL FUNCTIONS

  • Establishes and maintains positive relationships with customers, technicians and product suppliers.
  • Communicates directly with customers to assist them in determining their parts and/or service needs.
  • Provides regular updates to customers regarding status of all open orders.
  • Notifies customers in advance of any delays in orders.
  • Actively participates in periodic parts and service meetings.
  • Obtains all relevant information from customers and/or technicians regarding customer needs.
  • Provides quotations for parts.
  • Organizes and transmits relevant information to the appropriate manufacturer.
  • Enters parts orders into the inventory manager system.
  • Receives, organizes and transmits all information from customers and technicians/salespeople, including specifications and delivery information, to the manufacturers.
  • Continually tracks open orders to insure on time delivery.
  • Conducts warehouse and shipping duties where applicable, receiving and shipping all parts.
  • Operates computer based inventory and purchasing systems.
  • Performs inventory picking and staging, replenishment and cycle counting to maintain accurate inventory levels and quality materials for customers.
  • Uses company vehicle to pick up or transport parts and materials for routine business needs.
  • Ensures record accuracy; applies root cause analysis for discrepancies.
  • Reviews and completes Inventory Request forms to set up new items in inventory.
  • Verifies incoming shipments from vendor against packing slip; enters receipt information into JDE, and troubleshoots purchase order and receipt inquiries from accounts payable and supplier development.
  • Reviews, enters and verifies all information requested for entry on all new and existing parts.
  • Works with accounting personnel.
  • Re-stocks inventory identifies back-stock locations; maintains cleanliness and orderliness in the storeroom rows.
  • Orders operations processing supplies.
  • Reviews items submitted for repair to determine cost efficiency; processes repair orders including contacting suppliers and PO set-up.
  • Completes special projects/assignments as required by the Manager.
  • Maintains satisfactory attendance, to include timeliness.
  • Responsible for understanding and complying with applicable quality, environmental and safety regulatory consideration.

MINIMUM QUALIFICATIONS

  • High school diploma or GED from an accredited institution plus 1 year of parts, storeroom or customer service experience reflecting increasing levels of responsibility.
  • Proficient in the use of MS Word, MS Excel and MS Outlook.
  • Required to lift and move up to 50 pounds.
  • Required to work weekends and overtime.
  • Valid driver’s license and successful completion of background check. Required to obtain a California driver’s license or appropriate state driver’s license within 30 days of hire.
  • Experienced in reading and comprehending simple instructions, correspondence, and memos.
  • Experienced in writing simple correspondence and procedures.
  • Skilled in adding, subtracting, multiplying and dividing in all units of measure, using whole numbers, common fractions, and decimals.

PREFERRED QUALIFICATIONS

  • 3 years of parts, storeroom or customer service experience reflecting increasing levels of responsibility.
  • Skilled in the use of MS Word, MS Excel, MS PowerPoint MS Outlook and JDE.
  • Experience with multi-tasking and working in a fast-paced environment.
  • Experience with effectively communicating with managers, peers and customers.
  • Experience working in a team environment where high quality standards are expected to be met.
