Description: Under supervision, provides clerical support to the department, types various correspondence and documents, orders supplies, answers department phones, maintains files, and provides reception for designated areas.
Essential Functions:
* Upholds Kaiser Permanente's Policies and Procedures, Principles of Responsibilities and applicable state, federal and local laws.
* Performs a variety of clerical duties; including but not limited to staffing, schedules, MD payroll, employees timecard recording, etc.
* Provides telephone reception.
* Takes and returns messages.
* Assists members in obtaining medical services.
* Completed forms associated with member services.
* Provides member/family/visitor instruction and information as directed.
* Uses computerized systems to enter and retrieve member data.
* Assists in the tracking of member appointments.
* Books appointments.
* Assists in Quality Improvement projects as directed.
* Promotes quality of service by serving as a resource to members/visitors.
* Orders and maintains equipment and supplies.
* Supports the philosophy and complies with the policies and procedures of the organization.
* Apply correct medical terminology, format and abbreviations.
* Type medial and research papers for publication.
* Create graphs and charts.
* Collect and compile cumulative data and statistics.
* Complete worksheets by tallying activities.
* Construct statistical tables.
* Assign and monitor work priorities.
* Conduct periodic desk audits to identify backlog conditions.
* Provide functional direction to assigned staff.
* Review assigned work for accuracy and completeness.
* Recommend procedure changes.
* Train and orient new and less experienced personnel.
* Serve as a resource person to co-workers by answering procedure questions and assisting in problem solving.
* Participate in special projects.
* Establishes and maintains courteous, cooperative relations with the public, patients and other personnel.
* Promotes, ensures and improves, customer service to internal/external customers by demonstrating skills which are consistent with the organization's philosophy of providing extraordinary customer relations and quality of service.
* Performs other related duties as required.

Pay Grade: 14
Basic Qualifications:
* Generic: One (1) year of general clerical experience within office/medical center.
* High school diploma or GED.
* Typing 35 wpm. Typing must be current within one (1) year. Please contact Human Resources for testing.
* Demonstrated verbal and written skills, including good organizational skills.
* Materials Management: One (1) year experience with CRT, perpetual inventory, contact experience with vendors, purchasing and accounts payable.
* High school diploma or GED.
* Typing 50 wpm. Typing must be current within one (1) year. Please contact Human Resources for testing.
* Demonstrated ability to order hospital supplies.
* Demonstrated ability to maintain filing systems and records.
* Demonstrated ability to perform mathematical /arithmetic operations, basic accounting procedures and read for comprehension.
* Demonstrated ability to read and interpret computer-generated reports.
