The Administrative Assistant Associate is an integral member of the Women's Birth Center team providing clerical support for medical staff, patients, visitors, families and ancillary personnel. The Administrative Assistant Associate role is integral of the daily operation of the Women's Birth Center. Assists in identifying and resolving operational problems and provides training of new staff members.

Lead Unit Clerk

Perform as Administrative Assistant Associate in Von Voigtlander's Women's Hospital Birth Center; providing clerical leadership and functional supervision, problem solving, efficient operations and emphasizing patient care. This role is involved in the daily operation of the Unit Clerk role on the unit. The Administrative Assistant Associate coordinates work assignment for Unit Clerks on the Unit. Ensure that all lunches and breaks are covered during shift. Acts as a role model to clerical staff through positive and professional performance and interactions at all times. Documents call-in's, late arrivals and early departures on daily sheets. Reviews and determines approval for staff schedule trade requests. Participate in the interview process for new staff. Provide and facilitate peer feedback for performance evaluation for all clerical staff. Assist with various projects and/or tasks as assigned by the Women's Birth Center Clerical Manager/Supervisor.

Unit Clerk Training

Administers, organizes and conducts training and educational programs in connection with Women's Birth Center Unit Clerk role, on-the-job training, and employee orientation. Maintains records of training activities and employee progress and monitors effectiveness of programs. Assists in the design and development of Women's Birth Center Unit Clerk curriculum and training. Possesses and applies a broad knowledge of principles, practices, and procedures of Women's Birth Center Unit Clerk role to the completion of difficult assignments. Coordinates trainee schedules during Unit Clerk orientation. Maintain content on the Unit Clerk Website.

Additional Inpatient unit clerks perform a variety of duties including, but not limited to: Providing exceptional customer service to patients, families, visitors, and staff. Answering multiple phone lines. Ordering medical supplies, equipment, and services through appropriate mechanisms. Facilitating communication between physicians, nursing staff, and care management teams regarding orders and status updates. Arranging patient admissions, transfers, and discharges on inpatient units.

General supervision is received from a designated Women's Birth Center Clerical Services supervisor. Clerical staff also receives direction from the Administrative Assistant Associate on the Women's Birth Center. Staff members in this classification are expected to exercise judgment in the application of policies, methods and procedures.

Required Qualifications*

* High school diploma or equivalent

* Note: You will be expected to rotate between Unit Clerk and Training responsibilities

Desired Qualifications*

* Previous experience in a medical setting

* Three years of progressively responsible clerical experience.

* Knowledge of University of Michigan Hospital policies and procedures

* Knowledge of medical terminology

Work Schedule

Hrs/Week: 32 hours per week; Shift/Hours: Nights, 1130pm - 730 am.
