Job Summary

Department Summary

The First Year Experience (FYE) works to create ties across Student Life units providing programming and resources for first year students, through coordinating marketing, assessment, and program aspirations across all partnering units. FYE aspires for all first year students to create their own journey, discover themselves and others, connect across difference, and thrive in a healthy environment. FYE assists the residential curriculum by assisting with creating a welcoming, accepting, safe, open, and respectful environment for people of all social identity groups through programming, events, and classes. In addition to optional opportunities, FYE required programs seek to reduce the occurrence of harmful behaviors and promote positive healthy behaviors by providing structured opportunities for students to: 1) make informed decisions about their wellness, 2) practice communication strategies to effectively engage with others, and 3) practice skills for intervening in harmful situations.

Responsibilities*

Administrative Support Functions 60%

* Directly support the day-to-day functions of the Associate Director, First Year Experience.

* Provide administrative support for First Year Experience, which includes five professional staff members. In addition, provide backup administrative support for Diversity & Inclusion.

* Budget Management: Manage all budget tracking and reconciliation for First Year Experience, including P-Card purchases, concur management, and professional development and conference preparation.

* Create and supervise procedures and reports for managing the FYE office space.

Program Assistance 40%

* Assist with event planning for First Year Experience, including managing Community Matters workshops room scheduling.

* Assist with the running of the FYE Peer Transition support program.

* Assist with HR processes for hiring student facilitators and other student staff.

* Administer Blue Bucks distribution for student volunteers.

* Coordinating supply orders for Community Matters programs.

* Coordinating meeting scheduling for programmatic lead teams.

Required Qualifications*

* Bachelor's degree or equivalent experience.

* Minimum 3 years administrative experience for a large organization.

* Minimum 1-year experience working in a higher education setting.

Desired Qualifications*

* Experience working in housing or community settings as a professional staff member.

* Previous experience supervising students and in program leadership.

PLEASE NOTE: Actual salary commensurate with experience, education and equity factors.

Relocation will not be offered for this position.

Financial/Budgetary Responsibility

Responsible for assisting in the budget projection of two distinct budgets of over a $500,000 budget. Sole responsibility to track and reconcile a budget for 5 individuals, of over $500,000.

Working conditions

Job requires working some evening hours.

Direct reports

This position may provide functional supervision for up to 4 graduate interns.
