Description:
The Store Administrator is responsible for providing excellent customer service and public relations needed for all customers. Other responsibilities include answering and transferring all incoming telephone calls in a courteous and professional manner, serving as an information resource, and performing a variety of administrative duties as assigned. The Store Administrator is accountable for timely and accurately processing payments, payables, and other store paperwork.

Essential Duties:
o Receptionist: Take and direct phone, email, mail, and in person customer, vendor and employee contacts.
o Work alternative work schedules which could include weekends.
o Cash – Daily Reconciliation and bank deposit with EQUIP.
o Accounts Receivable – Apply advance payments and receipts on account, maintain customer files (including tax exempt forms), Customer communication (i.e. Thank you notes) and collection.
o Accounts Payable – receive, monitor approvals, verify GL codes and enter location specific invoices, matching parts invoices to purchase orders.
o Acknowledge and send correct documentation for any functions assigned by Corporate Accounting per the processes given by Controller.
o Monthly reconciliation of location accounts, internal orders, petty cash.
o Sales Department Support– Review Wholegoods Sales paperwork and send to corporate for processing.
o File Clerk – responsible for maintaining all paper/electronic files at the location.
o Be the local contact for the corporate accounting and human resources office.
o Support all store departments to assist in achieving the store assigned metric goals and standards for performance and profitability.
o On a regular basis (weekly) back-up other customer facing roles as needed. Positions could include Parts Counter Salesperson, Service Writer and Sales.
o Other duties as assigned.

Requirements

Job Requirements
Experience, Education, Skills and Knowledge:
o High School Diploma plus 2 years of vocational school or equivalent work experience.
o 2+ years in an office administrator position is preferred.
o Ability to work in a high volume fast paced environment and still provide a high level of customer service.
o Understands accounting fundamentals such as payables, receivables, and GL Coding.
o Ability to use standard desktop load applications such as Microsoft Office and internet functions.
o Ability to use various computer programs specific to the position.
o 10-Key proficiency.
o High level of attention to detail and accuracy.
o Beginning to intermediate computer skills and ability to utilize all Washington Tractor systems with proficiency.
o Ability to maintain a company insurable driving record.
