Job Description:

PURPOSE
This position is responsible for all aspects of store operations. The Operations Project Specialist must be available "on-call" for emergency situations.

MAJOR RESPONSIBILITIES
  • Vendor Management
  • Assist in managing all service and project vendors and related data base information
  • Review agreements for vendor responsibilities
  • Communicate with Account Managers
  • Assist in ensuring compliance to contract standards and specifications
  • Maintain thorough knowledge of negotiation including areas requiring special attention
  • Assist in managing annual capital expense projects and related budgets for equipment replacement, repairs, maintenance and janitorial services for all locations.
  • Assist with the annual evaluation of all service providers and renegotiation of annual contracts for national accounts
  • Assist in coordinating utility, alarm, trash, music, fire equipment and janitorial service for all locations
  • Assist in implementing quality control measures, IT systems and monitoring systems
  • Recommend processes to continually improve performance, resources, skills and expense controls
  • Track and respond to communications from stores for repair and maintenance requests received by telephone, email, and fax in a timely manner (within 3 days)
  • Troubleshoot and dispatch vendors to complete repairs

    Operations
  • Partner with Accounts Payable Department to set up new accounts, audit and approve invoices
  • Review profit and loss statements
  • Draft and communicate operations-related policies
  • Partner with Loss Prevention Department to develop training tools and coordinate safety training
  • Partner with store managers to ensure the store operating procedures and processes are in compliance
  • Provide support in inventory preparation
  • Maintain and manage vendor relationships for new store openings and capital expenditure projects
  • Manage store ordering process and portal updating
  • Manage key portions of the budgeting, planning and execution of the annual store managers’ conference, store managers’ meetings, market and regional managers’ meetings
  • Manage and coordinate with field supervision all pre-opening operational planning to include staffing, home shows and job fairs
  • Manage and coordinate with allocation the timely delivery of all new store merchandise deliveries to ensure timely store openings, remodels and store closings
  • Create, design and roll out critical projects including SOPs, guides and training
  • Manage the facilitation of all marketing for grand opening activities and events
  • Manage other projects as assigned

    Other
  • Maintain work orders, proposals and files
  • Produce reports as required
  • Perform other duties which may be assigned from time to time
MINIMUM ELIGIBILITY REQUIREMENTS
  • High School Diploma or GED (College degree preferred)
  • Specialized technical training or knowledge is a plus
  • 5 years of operational experience in a high-profile, high-traffic and customer-oriented environment (retail setting preferred)
  • Possess thorough knowledge of OSHA and safety regulations
  • Must have skills in process development, negotiation, budgeting and forecasting, expense control and time management
  • Proven problem-solving and analytical skills
  • Must be organized, able to prioritize and operate with a sense of urgency
  • Strong commitment to providing excellent customer service
  • Ability to multi-task, meet deadlines, and work in a fast-paced environment
  • Ability to comprehend and interpret instructions and ask for clarification to ensure understanding
  • Excellent communication skills (verbal and written)
  • Must have intermediate to advanced level computer skills including Microsoft Excel, Word, Outlook
  • Ability to write routine reports and correspondence
  • Must pass pre-employment background check
WORKING CONDITIONS (TRAVEL, HOURS, ENVIRONMENT)

  • This position is salaried, knowing it may include hours which exceed eight hours in a day or forty hours in a week
  • Limited travel is required including air and car travel
  • While performing the duties of this job, the employee is occasionally exposed to a warehouse environment and moving vehicles. The noise level in the work environment is typically quiet to moderate.
PHYSICAL/SENSORY REQUIREMENTS
Medium Work – Ability to exert 20-50 pounds of force occasionally, and/or 10-25 pounds of force frequently, and/or greater than negligible up to 10 pounds of force constantly to lift, carry, push, pull, or otherwise move objects. The employee is often required to use their hands and fingers, to handle or feel. The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl.

Store Support Center Associates
Provide leadership and support training on all Safety programs, processes and procedures, insuring that every associate is properly trained for their position.
Follow established Safety procedures in all aspects of work assignments applicable to the position. This includes participating in all Safety related training and acquiring certifications. Each associate is responsible for Safety at the Store Support Center and when visiting other company work locations. All Safety concerns must be brought to the attention of the management of a location and/or the Store Support Center Safety Department immediately.
