Duties and Responsibilities:

This position is assigned to the Community Health Services Division and is responsible for scheduling appointments for clinical services in all Polk County Health Centers under the supervision of the Operations & Mgmt. Consultant I- SES. This position is designated as a sensitive one and incumbent is required to maintain confidential information in accordance with Florida Department of Health & Florida Department of Health in Polk County Information and Security Policy, Protocols and Procedures. Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency.

Incumbent works in a call center setting that handles calls for all clinical services throughout the county. Incumbent will work as a team with other clerical support staff. Handles phone calls scheduling appointments, answering questions and assisting with inquiries. Deals directly with client by telephone and is responsible for managing a high volume of incoming telephone calls and must respond promptly to client inquiries. The incumbent is expected to communicate (by phone, in writing or in person) in a courteous and professional manner at all times. Must pay attention to details and possess excellent communication, customer service and interpersonal skills. Responds promptly to the needs of the customer and solicit feedback to improve service. Incumbent must be able to work in a multi-cultural, fast-paced environment, under stressful conditions with the ability to adapt to constant change.

This position will view, add and update client information in HMS. Confidential data sets: (1) Social Security Data (2) Clinical Information. This position has access to and must be proficient in the use of the Health Management System (HMS) to accurately register clients by completing a mini registration. This includes, but is not limited to. Verifying and updating addresses and telephone numbers, scheduling appointments, confirming appointments, canceling appointments, rescheduling appointments, and updating HMS Notepad entries related to appointments. All in accordance with established schedule templates and agency policy. Incumbent is responsible for reviewing data for accuracy and completeness. Be knowledgeable of all FDOH-Polk procedures and program activities across the county.

Make effective use of resources and may communicate/coordinate with internal departments regarding issues relating to an appointment obtain all relevant information pertaining to customer complaints or compliments and bring to immediate supervisor's attention.

Performs other related duties as required.

Licensure Required:

Valid Florida drivers' license or the ability to obtain one within 30 days of hire.
