GENERAL STATEMENT OF DUTIES

The Friends Book Cellar is a bookstore operated by the Friends of the Library. The Clerk/Cashier is responsible for maintaining outstanding customer service, processing and recording sales, directing volunteers, maintaining a membership database, processing mail, shelving materials, and maintaining order.

SUPERVISION RECEIVED

Duties are performed under general direction of the Book Cellar Manager.

SUPERVISION EXERCISED

May be required to assign, monitor, train, and oversee the work of volunteers.

ESSENTIAL FUNCTIONS OF THE CLASS

·         Assists the Book Cellar Manager in efforts to recruit, train, and supervise volunteers to operate the Friends Book Cellar.  Maintains the store.

·         Writes up sales tickets efficiently.  Receives payment by cash, check, and credit or debit cards and accurately maintains all cash and media at the registers. 

·         Picks up and processes incoming mail, safeguarding cash receipts and renewal information.  Prints mailing labels and mails notices, calendars, and newsletters to members.

·         Trains and directs volunteers in sorting materials into categories: book store, book sale, online sale, charity donation, or discard.  Also trains volunteers to determine pricing.

·         Manages book bag sales, accounts for inventory, restocks, and sends stock to branches for sale, accounts for receipts and keeps sales records.

·         Notifies the Kentucky Room Librarian when donated materials may be of value to the library's archival collection.

·         Assists in the selection of materials to be sold on the Internet.

·         Answers customer queries as to the availability of materials; assists customers in locating requested items.

·         Performs other duties as assigned.

          Interact and communicate pleasantly and effectively with diverse customers and staff, maintaining a positive and professional demeanor and providing friendly courteous service.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

·         Ability to communicate with associates and customers.  Ability to work with the public for extended periods of time, maintaining a positive, pleasant demeanor and providing friendly, courteous services.

·         Good knowledge of, or ability to quickly learn, Book Cellar procedures and practices.

·         Good knowledge of volunteer recruiting, training and supervision, or ability to quickly acquire said knowledge.

·         Basic knowledge of sales management, cash accounting, and library/book collection maintenance procedures.

·         Basic knowledge of books, authors, periodicals, and other related materials and publications in order to assist customers in selection of reading materials.

·         Ability to read, count, and write to accurately complete all documentation.

·         Ability to establish and maintain effective working relationships with other employees and library patrons.

·         Ability to operate all equipment necessary to perform the job efficiently.

·         Ability to carry out, with limited supervision, continuing assignments relating to the daily operations of the Book Cellar.

 

MINIMUM EXPERIENCE, EDUCATION AND TRAINING

High School degree or GED. One to two years of sales/customer service experience or the equivalent combination of experience and training or some experience in volunteer library work is highly desirable.  Must be proficient in the use of personal computers (PCs) and related software packages (MS Office, database programs, etc.).

LICENSE/CERTIFICATION

Must successfully pass a background investigation.

Clerk/Cashier must successfully pass a background investigation including a credit check. 

PHYSICAL AND MENTAL REQUIREMENTS

·         Normal physical effort required when working in a library, standing, moving or lifting boxes, wiring computers, regular typing.

·         Ability to lift up to 40 pounds.  Ability to place boxes of books on book trucks and place and remove books from any shelf of a 90” high shelving unit.  Ability to move book trucks from one location to another.  

·         Manual dexterity to efficiently operate a variety of office equipment (PC, copier, adding machine, etc.).
