Provide support in all the areas of operation of the Department of Dance. Duties and Responsibilities: Assistance to Chair, Director of the MFA Program, Faculty and Teaching Fellows: Act as the administrative liaison with other departments, offices and institutions; assist teaching faculty in all administrative work; schedule and manage calendars; aid in the elaboration of the course catalogue; prepare materials for departmental meetings, take notes at meetings and compose the minutes; plan and help run auditions, dinners, receptions, retreats and other departmental events; plan residencies and visits by guest artists/scholars, including travel, lodging and logistics of rehearsals, workshops, lectures, etc; aid in the organization and running of dance concerts in coordination with faculty and the production team; hire and oversee student workers; attend Department performances; assist in recruitment and administration of DAN 200/201 (production crew); update and publish the MFA Handbook; plan student field trips and faculty travel to work-related events; assist in recruitment of MFA students by answering inquiries and managing a list in MailChimp or comparable software. Communications: Maintain the Department's website, and social media accounts; draft and submit announcements about Department-sponsored events to e-Digest and other outlets; build and maintain a database of alumni; distribute information to faculty, students, staff and alumni; create and review fliers and other publicity materials for concerts and other events; communicate and coordinate with other Five College Dance Department administrative staff. Budget and bookkeeping: Update the budget weekly (at minimum) with spent funds and projected expenditures (encumbrances); assist the Chair in the development and submission of the yearly budget; oversee the accounting of all transactions; handle orders and invoices; process payments and refunds for faculty, guest artists, speakers and contractors. Operation of the Dance Department's Office: Represent the Department to students, parents, alumni, staff and the public; manage the office's daily operation; greet and provide information to all who call or enter the office in a helpful manner; monitor relevant email accounts; manage departmental correspondence; maintain records; scan, archive and organize documents, both historic and current, in the Department's cloud drive; hire, train and supervise work study student; order supplies; oversee the operation and maintenance of the Department's spaces and equipment. Other duties as assigned. Qualifications: Education/Experience: High school diploma or the equivalent and 1 – 3 years‘ relevant experience working in a professional office environment, ideally in education or arts production/management or an equivalent combination of education/experience. Skills: Fluent with Mac OS (primary computer interface); PC use for particular college specific platforms. Ease of use with basic office machines including multi-line telephone, copier/scanner and computers; proficient operation of Microsoft Office software (Word, Excel) and the Google platform; ability to learn new software and platforms as adopted by the College; excellent spelling, grammar and proofreading skills; basic accounting math; maintaining strict confidentiality, exercising diplomacy, communicating clearly and displaying a professional demeanor; ability to exercise independent judgment and anticipate needs; ability to self-manage and meet deadlines in a multitasking environment; ability to work occasional evenings and weekends; excellent problem solving and critical thinking skills.
