The Florida Department of Health in Okaloosa County is seeking a highly motivated, hardworking, self-motivated Senior Clerk Specialist to fill an entry level clerical position in the immunizations department. This is a highly responsible and specialized position that is fast paced and interacts with the public daily. Services will be provided primarily to parents seeking immunizations for their children and to various clients with immunization needs. Applicant should have the desire to work in public service and have excellent people and communication skills.

This position operates using a high level of independent judgement and critical thinking. This position works under the supervision of the Community Health Nursing Director providing specialized clerical duties which support the entire operations of the immunization department. This position works closely with Florida Shots Immunization Support Team to ensure proper documentation of all vaccines administered and appropriate functioning of the FL SHOTS Immunization Module.

Responsible for determining client eligibility for the Vaccines for Children Program (VFC), adult health immunization programs, employee health program and managing community partner vaccine purchase orders. Schedules and checks in all immunization clients into the HMS and FL SHOTS database. Accurately inputs all demographic, financial and third-party insurance information into the database. Checks FLMMIS for Medicaid eligibility and enters data into HMS accurately for billing. Completes encounter document for billing using appropriate forms and ensures all immunization data is accurately imported into the HMS system within 7 days of vaccine administration. Enters historical immunization records and information into the FL SHOTS database to determine immunization status of clients seeking services. Processes clients for nurse encounters to receive needed vaccines. Produces and creates DH 680 and 681 forms per policy and reviews for accuracy. Manages all immunization requests and immunization inquiries for DOH -- Okaloosa. Assists clients with other needs by directing to appropriate department or program.

Works as the lead clerk by maintaining operations of the entire immunization program. This includes sending request for and receiving copies of immunizations records from outside agencies. Ensures all legal requirements for confidentiality are met and proper release is obtained prior to releasing records. Manages all immunization records electronically in FL SHOTS, also manages paper records prior to FL SHOTS following DOH records retention and purge guidelines.

Responsible for maintaining the priority tickler on all immunization clients under the age of two years. Works closely with supervisor to perform follow-up activities of clients in priority categories as designated by agency policy. Prepares and sends reminder recall cards and letters to clients as appropriate and by agency policy. Participates in performance improvement activities and provides reports to management regarding performance indicators.

Information Custodian for the designated information set of Immunization, responsible for the security and confidentiality of all information contained within this information set(s). Responsible for working with the security coordinator to ensure all applicable rules, regulations and policies regarding the security of information are enforced with respect to this information set..

Prioritizes work and uses timely wisely. Performs other job related duties as delegated by the supervisor as required in support of the Agency's vision and mission. Participates in training, workshops, in services, conferences, staff meetings and other activities related to public health. Participates in cross training and staff development activities for the purpose of career development. May be called upon to work in disaster shelters in time of natural disasters/emergencies and perform other emergency work as required. Responsible for completing assigned work on time. Responsible for entering EARs service and time data into HMS system accurately on a weekly basis (minimally) and not to exceed 14 days from service provision.

The interview panel may consist of Department of Health staff, County Health Department staff, representatives of community partner organizations and representative(s) of the respective Board of County Commissioners. No telephone interviews will be offered. All interviews are to be conducted face to face in Okaloosa County, Florida.
