POSITION SUMMARY

Provide dispatch and customer service support to the Design Mechanical Service Managers, Field Technicians and Customers with a wide variety of administrative tasks.

PRINCIPAL DUTIES AND RESPONSIBLITIES

  • Answer a wide variety of incoming phone calls and gather information from each caller with accuracy
  • Provide excellent customer service and provide customers what they need
  • Create new customer accounts in the COINS systems and filing system
  • Enter customer data into COINS system and process customer requests
  • Maintain daily dispatch board coordinate for the next day schedule
  • Process and book service calls
  • Create work orders and send them out to the technicians
  • Coordinate technician requests
  • Order supplies
  • Complete all billing paperwork and approval process
  • Maintain accurate filing system
  • Make customer follow-up calls
  • Manage e-mail correspondence
  • Support all administrative needs for Lead Dispatch, Office Manager and Service Managers
  • Complete all work needed in the office
  • Other tasks as needed or assigned

QUALIFICATIONS

  • Experience in an administrative customer service role
  • Able to work with challenging customers over the phone and find a way to win them over and ultimately get them what they need
  • Strong communication skills
  • Experience learning and working in complex computer databases
  • Analytical ability to understand where to find information in a complex database
  • Strong Microsoft Office skills; proficient in Word, Outlook & Excel
  • Experience in a fast-paced, hectic environment with little down-time
  • Willing and able to get all necessary work completed
  • Comfortable working around technicians and other service professionals
  • Extremely organized and able to maintain precise record keeping and filing systems
  • Flexible and willing to manage a wide variety of tasks, support multiple people and the overall operation
  • Comfortable being interrupted by telephone calls and walk-in visitors and able to refocus back on the task at hand
  • Attentive to detail and able to complete work with very minimal errors
  • Will use own internal process to ensure proper follow-up to all outstanding items and customer needs
  • Able to be at work, on time, all the time consistently
  • Ability to multitask and can adapt to change
  • Looking for a long-term position and a desire to stay and grow with the company
  • High School Diploma or GED Required

COMPENSATION

Compensation based on experience within the range of $16 to $19 per hour and full benefits package.
