The Revenue Cycle Department, Compliance & Education and the Coding Unit, is looking for an Administrative Assistant Senior. This position performs administrative and office support duties for the Directors, managers, supervisors, and staff. Duties include fielding telephone calls, word processing, creating spreadsheets, and filing. Extensive software skills, time management, flexibility, and strong communication skills are required.

Responsibilities*

* Generate various reports for directors/managers.

* Perform complex payroll functions: approve time, complete payroll adjustments, and troubleshoots payroll issues, i.e., employee not listed in static group, approval time not showing, change approvers through a PAR.

* Maintain AAPC/AHIMA corporate accounts for all individuals in Revenue Cycle and update the list of non-coding staff for budget variance.

* Compose external job posting verbiage for manager review. Submit posting to HR and review applicants who meet minimum requirements. Forward resumes of eligible applicants to managers. Schedule interviews with applicants and manager group. Provide pertinent information and directions to candidates. Initiate correspondence with new hires, review timelines, and provide outline of first few days to new employees.

* Initiate communication to Coding Unit All related to the rules associated with PTO sell back. Review PTO and verify time for each individual. Enter sell back time and approve in the payroll system. Confirm all employees who wished to sell back time were included in collective sell back.

* Design, edit, contribute to articles, and publish quarterly newsletter.

* Schedule new hires for applicable MiChart classes based on job class. Relay schedule to new hires and provide instructions on class location.

* Review, generate, and submit salary increase letters.

* Maintain MiChart WQ/coder productivity via Excel spreadsheet with bi-weekly updates.

* Review and submit tuition support requests for department.

* Review monthly budget expenditure and highlight variances. Ensure spending is consistent with monthly budget expectations. Analyze, identify, and take corrective action in regards to budget errors. Make recommendations based on SOA.

* Renew memberships to various organizations for two staffs, including AAPC, AHIMA, HCCA.

* Schedules and coordinates standard Revenue Cycle Compliance and Education committee meetings such as RCEC and DCO forums: reserves room, sends out attendance reminders and polls, prepares agendas and handouts, updates all based on RSVP responses, etc.

* Maintains and updates Revenue Cycle Compliance and Education committee mailing lists in Outlook.

* Runs provider billing trend tracking reports using the Faculty Practice Solutions Center/Vizient application for Compliance review reporting for both clinical leadership meetings and individual provider feedback.

* Provide clerical support for Revenue Cycle Compliance and Education's ongoing audit and tracking/monitoring functions.

* Perform general office duties: dispatch phone calls appropriately; collect and distribute mail/faxes; update training materials by making corrections, printing, laminating, or special ordering; mail correspondence, both on/off campus; order supplies within budget confines for two departments; report building concerns to facility manager; and maintain office equipment.

* Assist colleagues with various computer issues, i.e., formatting, importing additional documents, and printing.

* Schedule conferences, make hotel/ flight accommodations, assist individuals with Concur reports after conference.

* Work with directors, managers, staff, other admins, and other personnel to schedule meetings, conferences, and webinars. Coordinate days, times, Blue Jeans, and rooms (at KMS and other locations). Prepare documents and send correspondence to all individuals involved.

* Monthly Pcard reconciliation for two accounts using Concur.

* Create and maintain folders in shared drives for Compliance & Education and Coding.

* Interacts with various UM departments to resolve concerns/problems for two staffs, including payroll, phones, building issues, shared services, HR, and HITS.

* Keep vendor database updated with name/address changes, create and update PO's, and process invoices.

* Respond to complex inquiries from staff, vendors, and other customers.

* Maintain Identity Management databases.

* Organize in-house special events: order catering, reserve room, set up/take down, initiate correspondence.

* Place special orders for books, laptops, equipment, business cards, and training materials, through various Marketsite vendors.

* Create Blue Folders for new employees. Conduct internal audit. Verify that all pertinent information is contained in the folder.

* Participates in KMS community activities, i.e., attend monthly admin assistant meetings, provide front desk coverage, assist with building-wide functions, donate blood, and organized a KMS food drive.

* Extensive knowledge with multiple computer applications, including Excel, Concur, Outlook, Marketsite, Microsoft Word, Publisher, PowerPoint, Qualtrics, and Visio.

* Generate surveys in Qualtrics. Segregate results as needed.

* Maintain Visio databases for Compliance & Education and Coding bays.

* Maintain logs: personnel, equipment, payroll reports, conferences, etc.

* Maintain supplies in kitchenette and supply area.

* Incorporate Total Quality Management tools and techniques into daily work of self and staff.

* Additional duties and responsibilities as needed.
