We are a family owned business in the Midwest with offices in Chicago, St. Louis and Kansas City, KS. We have been in business for over 50 years and are a dealer/distributor of school equipment primarily in the K-8 market. We have an open position in our Kansas City, KS office for an administrative assistant. Construction experience is a must with a good working knowledge of the industry. Proficiency in Microsoft office products (Word, Excel, and PowerPoint) is also a must. We offer a good starting salary with great benefits. Key job responsibilities include the following:
General:
Answer the phone
Process UPS shipments
Order office supplies
Assist estimators as needed with printing of drawings
Sales:
Process Sales Leads (electronic services, trade shows, inbound)
Schedule salesmen visits to architects, general contractors, schools, and trade shows
Fulfill customer requests for products, samples and proposals
Bidding:
Evaluate bid opportunities for a salesman review utilizing electronic resources
Process bid forms, qualification forms, etc.
Qualify bidders lists
Actively participate in follow up of existing quotes/bids
Ensure direct bid form compliance/attend bid openings (as needed)
Other:
Assist project managers with subcontracts, obtain insurance and bonds, maintain electronic job files.
Gather materials and data for submittals; submit the required data via online platforms (i.e. Submittal Exchange).
Execution of purchase orders and change orders
Process requests for plans, specs, addendums, etc.
Closeouts - Coordinate punch-list completion and ensure compliance of contract paperwork (warranties, as builts, etc.>)
