DESCRIPTION:

This is a clerical position within a clinical unit of the Florida Department of Health in Sarasota County. The incumbent shall report on time to work, ready to work at the appointed time. Presents with a positive attitude and presence. Displays excellent customer service skills in all interactions with internal or external customers. Follows all the DOH policies and takes responsibility to report incidents where policies were obviously violated. Stays focused on work and patient care.

REQUIREMENTS:

Participation in the direct deposit program within 30 days of employment as mandated per Florida Statute 110.113, 96-310, Laws of Florida

Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.

MAJOR DUTIES AND RESPONSIBILITIES:

Admissions

Checks patients in for the Women's Health Clinic, Adult Health Clinic, Pediatrics, and OB/GYN utilizing the HMS System.

Update the computer database with the current demographic and personal information i.e., name, DOB, phone number, address, and insurance information

Ensure that the proper documentation is obtained from the patient including:

Consent for Treatment forms

Consent for Health Vault

HIPPA forms

Driver's license

Social Security card

Insurance cards (if applicable)/verifies Advance Directive

Validates patient eligibility using FMMIS, and the HMO websites to ensure current doctor coverage.

Ensures proper forms and labeling are completed and sent into clinic.

Cashier

Uses the HMS system to record patient services from the encounter form

Bills patient according to their Eligibility

Collects monies as needed and enters tender and amount into HMS

Gives appropriate change if needed

Prints outpatient receipt for all refunds

Ensures that all encounter forms are entered into the HMS in real time completing by the close of business.

Completes deposit following Fiscal guidelines

Completes reconciliation report daily, recreating encounter form as needed

Takes all issues pertaining with the completion of the encounter form to the supervisor for follow up

Ensure the 3rd party bills are all sent to audit

Ensure all the UPC and Full Pay clients bills are filed and destroyed after 1 year, following the DOH policy

Other Clerical Duties

Runs all reports generated by HMS as needed

Answers all telephone and face-to-face inquires promptly and courteously, directing clients to appropriate areas

Submits timesheets in People First timely each pay period

Enters EARS into the HMS system within the 7-day period allotted

Reads and utilizes e-mail daily to ensure proper communication between supervisor and co-workers on work related issues

Works an adjustable schedule as needed to meet the needs of the organization

KNOWLEDGE, SKILLS, AND ABILITIES ESSENTIAL TO THE ROLE:

Basic knowledge of Microsoft Office applications, including MS Outlook, WORD and EXCEL

Proficiency in data entry and application of HMS client services system

Basic knowledge and application of office machines and equipment, including computer, copier, telephone, fax and credit card machines

Knowledge of health insurance programs for children, particularly Medicaid/Medipass, Medicaid HMO's and Universal Primary Care (Clinic Card) eligibility, enrollment and authorization processes.
