Exam# 17/80E80/10CR DESCRIPTION Natividad Medical Center (NMC) is currently seeking to fill (3) full-time permanent Principal Office Assistant day shift positions. Under general supervision, the Principal Office Assistant performs highly responsible and difficult clerical work requiring authoritative interpretation of complex rules and regulations and performs other related work as required. The current openings exist in the following hospital departments:
The Bariatrics Department, Materials Management and in Nursing Administration
This eligible list may also be utilized by other County of Monterey departments as vacancies arise. Examples of Duties
  • Performs varied technical, specialized or difficult clerical work requiring the frequent exercise of initiative, individual judgment and the application of thorough knowledge of department rules and policies.
  • Examines documents, records and forms for accuracy, completeness and conformance to applicable rules and regulations approves or rejects documents; searches for missing information to complete documents.
  • Responds to computer messages sent via electronic mail system and routes messages to appropriate person.
  • Codes materials for entry into data processing system or enters directly into computer system; proofreads computer input and output to insure correctness of entries and reviews rejected entries to identify and correct errors.
  • Sorts, codes, files and indexes correspondence forms, records, reports, documents or other material alphabetically, numerically, or by other predetermined classification which require detailed knowledge of the subject matter; may set up and maintain specialized filing systems; may design, revise and implement forms.
  • Gathers data and provided information for reports by searching for and abstracting specialized or technical data; interprets and explains laws, regulations, policies or procedures to subordinate staff and sends other materials and form letters; may compose letters and other correspondence independently.
  • Reviews and evaluates the work of unit to determine quantity and quality of work.
  • May operate a variety of standard office equipment such as computers, printers, copiers, calculators and fax machines; performs other related duties as assigned.
Examples of Experience/Education/Training MINIMUM QUALIFICATIONS The ideal candidate will have a proven track record demonstrating the following
Thorough Knowledge of: Modern office practices and procedures, including filing systems and the operation of standard office equipment. Working Knowledge of: English grammar, sentence structure, punctuation and spelling; arithmetic principles including addition, subtraction, multiplication and division. Some Knowledge of: The laws, ruling and polices of the office to which assigned; basic electronic data processing equipment. Skill and Ability to: Comprehend, interpret and apply policies, rules, regulations and detailed procedures; locate and verify information and use source materials; review work for accuracy and procedural conformance; prepare reports, keep detailed and difficult records; independently prepare correspondence; write effectively; verbally communicate information clearly and concisely to others; handle confidential material with discretion; organize and prioritize work; establish and maintain effective working relationships with those contacted through the course of work; operate office equipment such as personal computer, copier, typewriter, printer and fax machine; understand and follow oral and written instruction.
A typical way to acquire the knowledge, skills and abilities listed above is: Experience: Three years performing progressively responsible clerical duties at the working level, which included the independent interpretation and application of routine rules and regulations, and some lead worker responsibilities. OR Two years performing duties comparable to the class of Office Assistant III with Monterey County which included independent application of procedures and lead worker responsibilities. Additional Information WORKING CONDITIONS During the course of work incumbents may come in contact with infectious organisms and other potentially hazardous substances. CONDITIONS OF EMPLOYMENT Natividad Medical Center requires that all incumbents pass a pre-employment physical/medical assessment and background check.
