Executive Assistant US Wealth Management Senior Leadership


This position is responsible for providing a high level of general administrative support to the National Heads of Investment and Client Experience of BMO Wealth Management.


Accountabilities:

  • Responsible for providing the highest level of service and administrative support to the National Heads (NH) in all aspects of his/her role.
  • Represents the office of the NH internally and externally.
  • Liaison between the NH and his/her direct reports, discipline teams and senior leadership team.
  • Maintains a high level of discretion when handling sensitive and confidential information.
  • Utilize your extensive knowledge of BMO and the operational role of executive to make sound decisions.
  • Balance multiple priorities considering risk, importance, urgency, impact.
  • Understand the key drivers affecting BMO and our clients, and apply that knowledge to complete projects
  • Protect confidential and proprietary information.

Professional Support:

  • Manage complex and heavy calendaring including team meetings, client meetings, internal and external partner meetings, discipline group calls, off-sites, etc.
  • Coordinates and handles all travel arrangements.
  • Manage and process expense reports, timesheets for leaders; assist with approvals for those of direct reports.
  • Answers phones, screens calls and takes messages, as well as covers for other Team Assistants when necessary
  • Coordinates and sets up all aspects for meetings, including conference room, call in number, agenda/materials, notes in meeting (as needed).
  • Independently set up and manage project plans at the Administrator level.
  • Demonstrate high-level knowledge of the Quality & Risk management policies related to specific service lines and the bank
  • Independently compose, format and edit non-technical business documents
  • Compile data and assist in creating Power Point presentations and Excel spreadsheets for team meetings and other executive team meetings
  • Works with Corporate Marketing and Communications team to craft company literature, promotions, weekly update emails, etc.
  • Orders all company printed-related materials, i.e. stationary, business cards, etc.


Knowledge:

  • 5-7+ years experience as an Executive Assistant.
  • 2+ years working in investments/ financial services a plus, Bachelor s Degree a plus.

Skills:

  • Professional demeanor and etiquette;
  • Ability to maintain confidentiality and a high level of integrity.
  • Extremely organized; Ability to multi-task and work under pressure in a fast paced environment;
  • Ability to meet tight deadlines. Strong problem solving skills.
  • Excellent communication skills, both written and verbal.
  • Team building skills.
  • Availability to work extended hours on occasion as necessary.
  • Proficiency in Microsoft Word, Excel, Power Point and Outlook.
