BASIS JOB FUNCTION:
Under the directions of Operations Manager at the health center medical receptionist is responsible to support delivery of patient care by providing clerical and receptionist services to patients , families, visitors, staff, physicians, and departments that supports patient care. Facilitates efficient workflow, supports appropriate use of technology and fosters effective communication to fulfill organizations mission.
DUTIES AND RESPONSIBILITIES:

Administrative Duties:
- Greet patients and visitors and direct them to appropriate services (IBCCP, WIC, All Kids and other)
- Provide efficient telephone service and transfer calls according to established protocols
- Schedule appointments according to agency guidelines
- Register patients according to the agency protocol
- Complete insurance related forms and verify eligibility of all patients
- Determine financial status of the patients, assist the patients in accurately completing the forms and ensure up to date documentation of all patient information
- Renew the financial assessments annually for all private pay patients.
- Explain clinic policy and procedures to patients
- Direct messages and faxes from answering service appropriately every morning
10. Receive and deliver daily messages and faxes
11. Process incoming and outgoing mail
12. Maintain the receptionist area including the forms and office supplies
13. Secure the building at the close of each working day; open the building at the designated time and ensure that the front desk activities are fully operational at the start of the business hours
14. Attend staff and educational meetings
PATIENT FLOW:
- Maintain the log of patient sign-in sheets and track their wait time
- Pull and prepare patient charts manually if needed otherwise do intake in NextGen
- Accurately record patient data and demographics
- Before the end of the day transfer the calls to the answering service
- Call to reschedule patients that have not showed up and remind patients of their appointments, daily confirmations
- Duties are assigned and are not limited to the above
- Communicate effectively with the clinical staff regarding patient flow
- Follow the appointment scheduling protocol as designed by the management
CASHIER FUNCTIONS:
- Collect fees/copayments, clearly document fee for each service clearly on the encounter form and initial
- Dispense receipts to every patients that check out and document in NextGen or manually on the PEG
- Enter daily lockbox deposit data into cash receipts summary spread sheet.
- Count and record cash collected and prepare cash deposit slip.
- Reconcile patient account posting in NextGen or in log sheet when system is down.
- Submit log sheet cash and receipts to billing staff in the timely manner
- Follow AHSFHC policies in handling cash
QUALIFICATIONS (SKILLS/KNOWLEDGE AND ABILITIES):
- Bi-lingual individual
- Knowledge of billing and coding required
- Be courteous, polite, and helpful at all times
- Respect and maintain confidentiality of the patients
- Excellent telephone skills and a customer service etiquette
- Ability to interact effectively in supporting manner with patients of all backgrounds
- Person must be math literate, organized and detailed oriented
- Perform other duties as assigned
PREFERRED QUALIFICATIONS:
- Bilingual preferred
- Familiarity with medical terminology
REQUIRED LICENSURE AND/OR CERTIFICATION:
- Graduation from a recognized administrative or medical assistant program
MINIMUM QUALIFICATIONS:
- High School Diploma minimum. College education preferred
- Experience as a receptionist in healthcare setting
- Experience with general office software (Microsoft Word, and spreadsheets and internet)
