JOB SUMMARY:

The Onboarding Specialist will be responsible for assistingand guiding new sales agents through the onboarding process including onlineonboarding assistance with applicant tracking system (Taleo) and backgroundcheck vendor. He/she will coordinate theonboarding activities and management of new hire documentation for new agentsfrom offer letter through the time they are released to sell in the field. He/she will use necessary tools and templatesto track and keep current status of new agents throughout the onboardprocess. He/she will communicateonboarding status and other pertinent information with recruiting, salesmanagement, and sales administration. TheOnboarding Specialist will initiate, coordinate, and monitor new employeeonboarding activities with involved departments as needed (e.g., travel,training, virtual training, etc.).He/she will work under the Recruiting Systems & HR OperationsManager to generate report analytics and recommend process improvements.

RESPONSIBILITIES:

  • Review applicant readiness upon offer requestsubmittal. Create new hire offers andinitiate background and onboarding.
  • Use reports from Taleo to identify newly-offeredagents and update tracker templates.Action on changes for onboarding through Taleo Transitions and BIGbackground check.
  • Monitor progress of new agent tasks in TaleoTransitions, background check, and virtual training, addressing any issuesinvolved with new agent or relevant department (e.g., Combined legal). Communicate status regularly to all necessaryparties.
  • Create accounts in Brainshark virtual trainingsystem to launch training invitations and access for new agents. Updateaccounts as start dates and status changes.
  • Send welcome communications throughout week tonew agents. Follow up with new agentsfor online onboarding completion. Assistwith new agent onboarding questions and troubleshoot online onboarding issues.
  • Regularly and promptly communicate with salesmanagement and other appropriate groups regarding any issues discovered regardingnew agents.
  • Manage first day in sales school onboardingdocumentation intake with incoming agents, ensuring any missing onlinepaperwork is completed and all necessary documents and wet signatures arecollected. Assist unprepared candidatesto complete online onboarding using iPads.
  • Manage missing documents throughout sales schoolweek with trainees and communicate status to field sales, training, andlicensing.
  • Work with licensing team on confirmation of newagent licensing status, issues, and appointments for release to work.
  • Track and resolve non-released sales schoolgraduates when necessary documents and information are received.
  • Onboarding document retention processingcomplete eVerify, execute sales contracts, submit documentation to necessaryparties or upload to Taleo for storage.
  • Weekly reports and metrics.
