We have an immediate job opening for a full-time Executive Assistant. The following partial job description explains this position located in West Des Moines, Iowa. Duties and Responsibilities The Executive Assistant must work independently and without need for on-site supervision. The Executive Assistant functions as the personal assistant to the President. He or she is responsible for managing day-to-day schedules and travel arrangements. The Executive Assistant routinely handles circumstances that are urgent and need immediate attention. General Responsibilities: * Organize and schedule appointments * Handle confidential information discretely * Plan meetings and take detailed and accurate minutes * Assist in the preparation of regularly scheduled reports * Book travel arrangements * Perform duties as requested by Directors of the companies * Type reports, memos, letters and other documents using word relevant computer software. * Answer phone calls and direct calls to appropriate parties or take messages for the President. * Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution. * File and retrieve corporate documents, records and reports. * Open, sort and distribute incoming correspondence, including faxes for the President. * Make travel arrangements for executives Organization: The Executive Assistant reports to the President and acts as liaison between management levels within the organization; supporting the President. Computer Literacy: The Executive Assistant is fluent in the Windows Operating Systems; and the Microsoft Office Professional Edition software suite, including the latest versions of Microsoft Word, Access, Excel, Power Point, and Outlook. Requirements * Strong analytical, organizational and problem solving skills * Ability to prioritize and meet deadlines, strong attention to detail * Proven experience in an administrative position * Knowledge of office management systems and procedures * Working knowledge of office equipment, like printers and fax machines * Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) * Excellent time management skills and the ability to prioritize work * Attention to detail and problem solving skills * Ability to multi-task and manage several projects at one time * Excellent written and verbal communication skills * Strong organizational skills with the ability to multi-task * Ability to work independently and take ownership of assigned tasks * 5 years experience in an administrative position Position Type and Expected Hours of Work This is a full-time position.
