We're looking for a personable professional Deputy administrator. Qualified applicants have at least one year's experience as an assistant management or executive Assistant. This is a position requiring experience and maturity. You'll manage schedules, communications, priorities, customer relations and support services, as well as contributing to the cultural and organization improvement of the company. Minimum of 10 years of experience as a project manager or executive assistant in related industries or managing employees in the trades represented by customers of American Stone.

Duties:

  • Works directly with and for American Stone's Vice President as well as supports his senior staff as needed.
  • Handles Vice President's correspondence; drafts letters and documents; initiates telecommunications, manages calendar, meetings, etc.
  • Interfaces with regulatory agencies on behalf of, and to follow up on, tasks assigned pertaining to all aspects of company operation.
  • Assists in managing delivery dispatch from quarries to customers and stores.
  • Prioritizes work to be done by the company's stone quarries.
  • Operates and manages incoming phone calls, welcoming guests and customers by greeting them in person or on the telephone, answering or directing inquiries.
  • Completes projects and tasks as an individual contributor and seeks others' assistance where appropriate.
  • Maintains a headquarters office supplies inventory.
  • Work with service providers to maintain and ensure properly operating office equipment, yard equipment and vehicles.
  • Occasionally needs to source replacement parts for equipment where ingenuity and creativity in problem solving are important


Required Skills:

  • Dynamic, energetic and outgoing personality.
  • High level of organizational and time management ability: capable of scheduling, supply management, preparing travel logistics, follow up in a timely and organized manager.
  • Computer Savvy: advanced knowledge of Excel/Google Spreadsheets, Powerpoint, drawing software (Illustrator, Fireworks and/or Photoshop for example), and Word.
  • Attention to detail.
  • Technical writing.
  • Ability to communicate clearly and effectively occasionally making effective presentations; high level of communication skills.
  • Resourceful, self starter, innovative.
  • Advanced studies in professional secretarial skills (PS desirable); Bachelor's Degree in a related discipline preferable. Experience may substitute for the academic requirement. Personality and attitude is more important than experience.


Wage Type: Salary

Hours: Full Time, including occasional Saturdays.

Schedule: During store hours: 8-6 Monday-Friday; 9-4 Saturday; Off Sunday

Software Knowledge: Familiarity with Google Documents and Microsoft Office applications a must. Familiarity with mapping software or CAD drafting and drawing programs would be helpful.

Physical Requirements: A degree of mobility to be able to move around outdoors during any season (that is, including in cold weather), to be able to review workers through the facilities, go up and down stairs, and to pick up supplies. Occasional lifting may be required of 30 to 50 lbs.
