Requirements



To be a strong fit for the Administrative Assistant opportunity, you should have:



  • 3+ years of related administrative / office experience *

  • A professional and articulate presence and comfort interacting with senior executives

  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook

  • Experience developing presentations and managing spreadsheets

  • Strong writing skills including accurate grammar, spelling and punctuation

  • Knowledge of social media including tweeting, blogging, and posting

  • Excellent customer service skills

  • Strong organizational and time-management skills with strict attention to detail

  • The ability to multitask and manage multiple activities and priorities

  • A friendly people-oriented approach and the ability to interact effectively with customers and coworkers

  • The ability to express ideas clearly in written and verbal communications

  • A strong sense of ownership and goal driven personality

  • Resourcefulness and the ability to achieve goals independently

  • Reliability and punctuality


Preferred but not required:



  • A bachelor's degree from an accredited four-year college or university, preferably in Business Management, Accounting, Communication or a related field

  • Bookkeeping experience (accounts payable, budgeting, etc.)


*Our preference is that you have several years of solid, related experience, but if you re a recent college grad with strong motivation, MS Office skills, the ability to learn quickly and a professional demeanor, we will consider your degree in lieu of traditional experience.

The Role



In this role you will spend approximately 75% of the time serving as the right arm to the VP, keeping things organized, doing project work, acting as gatekeeper and always using strong judgment to filter external sales people and others seeking his time. Specifically, you will be responsible for:



  • Creating PowerPoints, Word docs and other presentation collateral

  • Tracking and managing expense reports

  • Schedule management

  • Project prep-work/research

  • Purchase order generation

  • Managing meeting, travel and other arrangements

  • Blogging, posting and tweeting as requested

  • Attending two intensive trade shows per year to manage the VP's meeting schedule and other event related tasks

  • Additional tasks, as assigned


You ll play a key role in keeping the team, located throughout the U. S., connected and managing administrative tasks. Specifically, you will:



  • Coordinate business activities within the group

  • Respond to general inquiries and provide information, as needed

  • Assist with travel arrangements and process expense reimbursement requests

  • Organize meeting resources and logistics

  • Prepare meeting agendas and record meeting minutes

  • Perform administrative duties such as updating databases, preparing materials for meetings, preparing Board materials, etc.
