A San Francisco based medical society is searching for a Meetings and Education Coordinator to provide assistance in planning and executing all aspects of three Annual Meetings as well as several ancillary meetings. Duties will include assisting in education, operations and logistics, marketing and advertising, exhibits, registration and abstract process management. The Coordinator will also provide onsite meetings support with the implementation of all meetings, exhibits, CME programs, abstract programs and related activities. A Responsibilities A Assist Director with the management and implementation of the Annual Meetings, Board, and ancillary meetings throughout the yearSupport the abstract and session proposal processes, including promotional activities, submission, review, supplements, and onsite abstract management of posters, presenters, and poster moderatorsAssist with speaker management including communication, speaker databases, production of and ongoing monitoring of event forms, speaker requests, creation and maintenance of speaker files and tracking and processing speaker reimbursements post-meetingCompile, coordinate, and proof speaker and session information for inclusion in the Preliminary and Final ProgramsAssist with the development and implementation of marketing materials and campaignsMonitor and update Annual Meeting website content to ensure information is currentField requests for information from multiple entities (i.e. members, vendors and staff) and respond to inquiries in the various meetings email accountsOversee management of the Annual Meeting mobile app, including setup, ongoing management, customer service, onsite updates, and post-conference analyticsAdminister report tracking for Annual Meeting deliverables, set up reports and maintain filesResponsible for ascertaining and assessing supply needs for Annual Meetings and other ancillary meetings and preparing and organizing show shipments pre- and post-showServe as the main point of contact with the organization's travel agency and coordinate speakers and VIPs on travel arrangements for Annual Meetings and ancillary meetingsSchedule, attend and contribute to all department planning meetings and Annual Meeting Oversight Committee MeetingsCoordinate collation of attendee bags and inserts onsite at Annual MeetingsProvide onsite support for three Annual Meetings and other ancillary meetings A A Requirements: A Bachelor's degree2-3 years of related background, training, and work experience in meeting and conference managementPrevious experience with associations or not-for-profit organizations, experience in health care related area desirableStrong proficiency with the Microsoft Office Suite, including Word, Excel, Adobe, and PowerPoint, ability to learn new software quicklyStrong interpersonal and communication skills (both written and oral) and the ability to build relationships with stakeholders, including staff, members, board members, and external partnersHigh degree of initiative, energy, and self-motivation and ownership with the capacity to work independently and with a teamTrack record of reliability/dependability, articulate and confident with high-level of diplomacyConsistently demonstrate courteous, ethical, cooperative, accountable, and helpful behavior to all contacts, internal and externalAnalytical and excellent problem-solving skillsStrong work ethic with enthusiasm for learning all aspects of planning and executing meetings and eventsFlexibility and adaptability to work in a changing environment, manage multiple projects with attention to detail, and prioritize competing requests in a fast-paced environmentAbility to work calmly, professionally and effectively in stressful situationsTravel required for Annual Meetings and other ancillary meetings during the year; overtime as required A The office islocated in the San Francisco Financial District and offers a competitive salary and benefits plus flexible hours.
