JOB DESCRIPTION
ROLES AND RESPONSIBILITIES:
* Serve as key contact to equine sales team to assist with 40+/yr national tradeshows.
* Serve as key contact to consumer sales team to assist with 25+/yr regional and national tradeshows.
* May serve as key contact or assist veterinary sales team with 13+/yr national veterinary tradeshows.
* May serve as key contact or assist with OTC sales team with 2+/yr national tradeshows.
* May provide booth graphic assistance to veterinary sales team with 50+/yr regional veterinary tradeshows.
* Coordinate:
* Booth selection
* Booth deposits and final payments
* Exhibitor and guest badge registration
* Setup/teardown labor
* Drayage
* Electrical
* Carpeting
* Cleaning
* Ancillary rentals
* Certificate of Insurance
* Giveaways
* Create show packing lists and keep templates up-to-date.
* Request empty containers and/or labels from label cage; enter orders in FACTs for live product.
* Pack and label all show materials.
* Arrange for outbound and inbound shipment of materials.
* Inspect all returned assets and return any remaining literature and premiums to inventory.
* Ensure graphics and assets are in clean, workable condition. Take any fabric displays to the dry cleaners, as needed. Replace any graphics or parts as needed.
* Order new tradeshow assets.
* Work with third party vendors to manage current custom build tradeshow displays and create any new assets.
* Work with IT department to upload leads into database.
* Process event leads and send out any literature or samples, as requested.
* Audit show invoices.
* Manage and schedule inventory of all show graphics and assets.
* Work with graphics and web team to keep online graphics inventory up-to-date.
* Arrange for corporate suite and/or meeting spaces; maintain schedule.
* Reserve hotel room block for exhibitors and guests.
* Maintain calendar of tradeshows; make updates on shared drive and intranet.
* Purchase all premium items for veterinary and OTC sales divisions and re-order as needed.
* Ship and log premiums, as needed or requested.
* Stock in-office premiums inventory.
* Manage inventory of monthly special and loyalty premiums.
* Research vendors and premium ideas.
* Work directly with vendor for item selection plus secure pricing and lead time information.
* Upon final selection of premium, finalize purchase order.
* Work with Mailroom Administrator to ensure iMagic re-order quantities are established for premiums, approve received premiums, and monitor inventory.
* Coordinate annual Christmas gift selection and fulfillment.
* Manage employee store; assist with order issues; and process vendor invoices.
EDUCATION & EXPERIENCE
MINIMUM REQUIREMENTS:
* Minimum of three (3) years tradeshow, event planning, and/or marketing experience.
* Ability to work well under pressure and meet deadlines.
* Excellent organizational and communication skills.
* Ability to prioritize and multi-task.
* Possesses strong work ethic.
* Self-motivated.
* Requires initiative.
* Team player.
* Works independently.
* Must be proficient in Microsoft Office suite.
* Ability to lift up to 50 lbs.
