Job Summary: The Human Resources Coordinator is responsible for processing all pre-employment and employee lifecycle changes to ensure there is an accurate employee record in PeopleSoft and in the associate's scanned HR personnel file. Onboarding processes include: offer letter creation, running pre-employment, theft screens, background checks (CBC), drug screens (DS) and motor vehicle reports (MVR) for all new hires. Responsible for running CBC/MVR/Drug Screens for incumbents who require these due to promotion or demotion. In addition, the coordinator is responsible for updating internal databases containing background check results in order to ensure our metrics are being met and the business is in compliance with both Sears and federal guidelines. Occasionally responsible for assisting with the coordination of other important Human Resources (HR) functions including file maintenance and audits providing HR related information to managers and associates via mail, email, fax or phone to resolve administrative issues. Job Duties/Responsibilities: * Administers the pre-employment, theft checks, drug screens (DS), criminal background checks (CBC) and motor vehicle reports (MVR) processes via the BrassRing On-Boarding system. Monitors and reviews 5-day cycle time target adherence, communication with hiring manager and field Human Resources (HR) representative to obtain missing information and provide applicant's hiring status * Processes CBC/MVR for internal candidates transferring into a 'Select Position' and follow internal Standard Operating Procedure to ensure that correct process is followed * Acts as the primary liaison between hiring managers, applicants, third party vendors, BrassRing Support, Sears' evaluators and the Legal Department for pre-employment activities * Audits pre-employment data to identify compliance issues that need to be brought to the attention of HR management and appropriate corporate/field management to drive improvement and accountability * Communicates pre-adverse and adverse action determinations from the Sears' evaluator with hiring manager and field HR representatives * Sends correspondence regarding unfavorable results to applicants and contingent hires in compliance with the Fair Credit Reporting Act for associates who have a 'Not Clear for Hire' result due to a MVR * Responds to inquiries regarding drug screen collection sites. Communicates with Medical Review Officer regarding questionable drug screens * Creates electronic employee personnel file in HR Scanning. Maintains both pre-employment and 'Select Position' related documents in the electronic personnel file * Develops and implements revisions to existing processes in an effort to constantly improve the efficiency of compliance efforts * Acts as primary source of HR contact for those departments that they support and provide timely and courteous internal customer service. Communicates general and routine company policies, practices and procedures when called upon and distribute HR and Sears' communications as needed. Involves HR management in those issues they are unable to respond to or resolve * Responds to general benefit inquiries and be able to refer the associate to the appropriate contact on complex matters that cannot be addressed by this office * Completes reports weekly which provide notification to management regarding pre-employment candidate status. Communicates delays of 7 days or more via weekly report and provides verbal follow up for complex delays * Follows up with vendors/evaluators frequently to obtain status updates on delayed pre-employment results. Escalates these matters to HR management as necessary * Enters accurate pre-employment data into the HR Scorecard monthly * Inputs data related to salaried absences and provide assistance to associates and managers regarding attendance records. Forwards absence reports to management on a monthly basis * Assists with coordination and facilitation of Corporate HR activities * Creates and updates flow charts, reports and other documents related to pre-employment functions as needed * Maintains strict confidentiality of all data and information administered under these programs * Assists other members of the HR Department staff with assigned projects, coordination of various events, special assignments and act as back up to other members of the HR non-exempt staff * Performs routine administrative tasks including copying and faxing documents, file maintenance, processing incoming and outgoing mail, and setting up conference calls * Maintains professional integrity in compliance with Sears/SHIP mission, vision and values * Maintains an excellent attendance record * Ensures dedication to truly understanding customers' needs and exceeding their expectations * Represents the organization in a positive and professional manner * Maintains personnel confidentiality at all times * Acts as a role model in demonstrating the customer service standards of the organization * Performs other duties or assignments as needed
