About this job

We need a skilled Office Manager/Administrative Assistant on our team to efficiently handle the business and administrative requirements of our fast paced environment.
Position & Responsibilities
* Responsible for assisting the remote HR team with administrative elements of on-boarding employees (obtaining access badgers, gathering paperwork, adding to systems, etc.)
* Scheduling training sessions, all employee meetings, and contractor visits, managing multiple calendars and busy schedules.
* Maintaining supply inventories (office and shop supplies).
* Initial review and coding of A/P invoices, following up on vendor questions.
* Data entry
* Report creation via MS Excel including charts and summaries of production related data.
* Initial point of contact for visitors and phone calls.
* Mail handling
* Facilitating and processing purchase orders for plant purchases.
* Maintain contractor files (insurance, training, work log, etc.)
* Vendor maintenance in SAP (requesting new, updating existing, etc.)
* Arrange catering when necessary.
* Assist with the arrangement of regular social engagements for all employees.
* Maintain inventory of items for employee recognition, welcoming new employees, employee achievements.
* Maintain plant learning matrix / training database records.
* Participate in new employee orientation by reviewing basic policies and practices.
* Champion ideas for employee engagement and team building.
* Create and distribute employee communications such as board postings or newsletters.
Qualifications
* Previous experience with multiple administrative responsibilities.
* Basic accounting experience helpful for A/P or payroll reconciliations.
* High proficiency in MS Excel and other MS Office systems
* PowerPoint or formal presentation preparation skills
* Experience creating creative informational postings or newsletters
* Outgoing personality, willing to engage with all team members in the facility
* Ability to multi-task and change priorities to meet needs in fast paced environment
* SAP experience very valuable, not required
* Strong written and interpersonal communication skills
* Previous experience in a manufacturing environment beneficial

Hours are flexible between 7:30 a.m. and 4:00 p.m.
