This is an Administrative Assistant III, Select Exempt Service position with the Fish and Wildlife Conservation Commission (FWC), Fish and Wildlife Research Institute (FWRI), Director's Office, St. Petersburg, Florida. This position reports to the FWRI Director and FWRI Deputy Director.

DUTIES

Duties include but are not limited to: Providing administrative support to the FWRI Director and Deputy Director; managing the FWRI SharePoint site; maintaining FWRI Emergency Contact Information and FWRI emergency Regional Phone Trees; maintaining the Institute Leadership Team Schedule, including monthly and annual meetings; supervising Switchboard Operations/staff; serve as facilitator for Lead Administrative Assistant and Support Staff meetings, coordinating the Internship program and maintaining the Volunteer/Intern Database; tracking the Research Approval Request System; managing the FWRI Suggestion Box; maintaining the FWRI Training Database; maintaining the Annual Conference Travel Plan; tracking FWRI Extra Effort Award Submissions; coordinating the annual FWRI Awards Ceremony; serve as coordinator for KidsZone tent during MarineQuest; serving as de facto leader of all FWRI administrative staff; coordinating civic drives such as Toys for Tots, Blood and Food Drives; and interpreting and disseminating rules, policies and procedures to staff;

REQUIRED QUALIFICATIONS

A bachelor's degree and 3 years of administrative support or clerical work experience; or a master's degree from an accredited college or university can substitute for one year of the required experience; or administrative or clerical experience can substitute on a year-for-year basis for the required college education.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of: general business, administrative, supervisory, office management policies, practices and procedures and the applicable rules, policies and procedures of the SOF/FWC/FWRI.

Skill in: dealing effectively and confidentially with sensitive subject matter and with a diverse group of people in difficult situations; use of personal computers, email, calendar, spreadsheet, database, portal and word processing software.

Ability to: communicate effectively verbally, graphically and in writing, work independently with little guidance, prioritize and coordinate work, assess and resolve problems, follow through on assigned tasks and projects, use problemsolving techniques, accurately perform detailed work; understand, interpret, and communicate applicable rules, policies and procedures; and establish and maintain effective working relationships, effectively train and supervise others; coordinate and delegate work, effectively supervise others, work hours in excess of 40 per week; be dependable and available to work all 5 business days (8:00 AM to 5:00 PM), Monday through Friday.
