We have a great opporunity for an Administrative Assistant III to work for a large, global company located in Gilbert, AZ just off the San Tan 202 Freeway and Gilbert Road. You must be an expert in scheduling:

Responsibilities:
The Administrative Assistant role is responsible for the management of administrative matters and assisting a large department and/or multiple departments with a wide variety of clerical and project based responsibilities. This level Assistant will be expected to support Vice President level personnel and ensure clerical and administrative services and assistance, of moderate complexity, requiring the use of judgment and discretion on a daily basis is provided. This position will oversee the administrative planning of internal activities and special projects, while maintaining a thorough knowledge of regulations, policies and procedures and exercising a high degree of diplomacy.

Qualifications:

Handle a wide variety of situations involving the clerical and administrative functions of the office; assist department management with the administration of their calendar, schedule, and workload, as requested.

Provide direct support by coordinating departmental activities, appointments and independently draft and edit correspondence, reports, or presentations.

Answer the phone, make arrangements for conference calls and meetings, including, but not limited to, Skype and WebEx meetings.

May be requested to provide backup support to our Receptionist on occasion.

Maintain administrative department records up-to-date; assist with scanning, printing, faxing and photocopying.

Maintain office supplies and products stocked; place orders, as needed.

Perform an array of business transactions, such as, travel requisitions, account reconciliation, inventory, etc. for assigned area and assist in maintaining departmental budgets.

Act as a liaison between internal departments regarding administrative matters and communicate relevant information to management.

Provide assistance and perform project management duties associated with normal office work load, special projects and department events.

Handle logistics and prepare presentations, reports, graphs and agendas for meetings and events; and serve as the representative for administrative matters.

Represent our corporate office and assigned department at various company meetings or work functions and provide discussion points addressed to management, if necessary.

Provide assistance to other Administrative Assistants or Executive Assistance, as needed.

Perform any other administrative duties as requested by assigned supervisor.
