REQUIREMENTS

This position is a clerical position providing clinical support to medical staff at the Columbia County Health Department. Duties and responsibilities for this position include but are not limited to answering telephones, interviewing clients to determine the initial and continuing eligibility for participation in all clinics and checking patients in and checking patients out from such clinics as primary care, family planning, immunizations, OB, Ryan White, TB, or STD clinics. Duties include assisting disabled/disadvantaged clients through referrals to other departments where eligible or as needed. Responsible for AID's Drug Assistance Program (ADAP) database for ordering medications for Ryan White clients, receives ADAP medications and documents medication pick up. Responsible for medical records custodian duties such as filing, pulling charts for clinics or as requested by other providers, providing security by ensuring that designated information in medical records are protected to preserve confidentiality, data integrity, appropriate access for all information both confidential and public record which may be stored in hard copy or electronic forms. Completes all correspondence pertaining to medical records and medical records requests and consents. Maintains daily cash drawer for client payments and calculates percentages of client visits for purposes of collection of co-payments. Enters coding for insurance billing for all client visits. Assists other CHD staff with correspondence utilizing the stamp machine on a daily basis. Archives old medical records per protocol. Scans and attaches documents into HMS. This position requires travel to satellite clinics and participates in Community Outreach. Provides excellent customer service.

Must have a High School Diploma or GED. Must have customer service experience. Must have experience in cash collections. Must have medical office or CHD experience.

Duties and Responsibilities

This is a general clerical position with Columbia County Health Department and reports directly to the Sr. CHN Nurse Supervisor. Duties and responsibilities include but are not limited to receptionist duties such as answering the phone, checking patients in, taking messages, transferring phone calls, updating patient information, scheduling appointments for Family Planning clinics, primary care, immunizations, Ryan White and Healthy Start Clients. Files medical records, verifying Medicaid/Medipass information and participates in outreach community activities. Responsible for cash drawer and collecting co-payments or sliding fee scale amounts for office visits. Works with physician, nurses and insurance representatives to facilitate referrals to specialty physicians or procedures. Works to continually improve customer service with all clients whether on the phone or in person.

Responsible for answering multi-line telephone system. Takes messages, transfers phone calls, schedules appointments for Family Planning, primary care, immunizations, general nurse clinics and Ryan White Clients. Updates demographics in HMS database and is responsible for patient check-in or checkout as assigned. Responsible for updating client information in HMS, obtains signatures and necessary paperwork to complete HMS medical records compliance. Ensures HIPAA compliance and security per protocol. Responsible for coding visits for billing reimbursements. Responsible for ADAP program ordering medications and distribution as well as pick up rate compliance. Responsible for client referrals to specialty physicians. Responsible for faxing medical records requests within 14 days of receipt and scans clinical information into clients HMS electronic health record. Collects cash co-payments and sliding scale fees for client office visits. Balances cash drawer at the end of the day.

Participates in community outreach and travels to Fort White satellite clinic as scheduled. Responsible for ordering and logging in ADAP medications. Calls ADAP clients to pick up medications and monitors county pick up rate.

Performs HST duties such as but not limited to measuring height, weight and hemoglobin for WIC clients. Responsible for ordering supplies once monthly and verifies delivery while managing inventory.

Performs other duties as assigned.
