Whelan Security is looking for a talented and driven leader to support our Human Resources department in the Memphis area!

Job description:

Applicant would perform a variety of administrative tasks, including managing phones and emails, scheduling appointments and planning meetings. Applicant must be able to use organizational skills to manage office space and time. Collaborate with clients and colleagues in a fast paced environment. Applicant must possess excellent communication skills verbal and written. Support senior managers and ensure that day to day office operations run smoothly. Works well with others is a team player and piggy backs off of the ideas of other Administrative Assistants. Willing to step in and help wherever help is needed. Position requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, outside clients and vendors. Sensitivity to confidential matters may be required.

Responsibilities:

· Support senior managers and executives with daily clerical tasks also may supervise other support staff

· Plan meetings

· Answer phones, provide information to callers and direct callers to appropriate people

· Schedule appointments and update calendar

· Make travel and reservations for senior managers

· Filing

· Create spreadsheets and presentations

· Budget reports

· Greet and provide general support to visitors

· Develop, implement and improve office policies and procedures

· Working knowledge of office equipment, fax and printers

· Knowledgeable in WORD, EXCEL, POWER POINT

· Expense Report Management

· Write letters of reccommendation

Qualifications

Successful candidates must meet the following requirements:
  • Legally authorized to work in the United States
  • At least 21 years of age or older as required by applicable law or contractual requirements
  • Demonstrate a stable work history
  • Pass an extensive background screening which includes, but is not limited to, criminal background checks (local, state and federal), drug test, aptitude tests, skills assessment, interviews, and personality profile (behavioral assessment)
  • Possess a current and valid driver’s license
  • Experience with applicant tracking systems and recruitment processes
  • Experience with HRIS systems
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Good understanding of sourcing and selection techniques, inclusive of social media technology

Education

Candidates must meet the following educational requirements:
  • BS/BA degree in human resources, business administration or related field
