Job Summary/Essential Duties:

Customer Service:

* Greets and directs the clients and other visitors in a prompt and courteous manner. Utilizes skills to assure satisfied clients.

* Notifies the providers of client's arrival. Monitors waiting time to ensure the client is seen within 15 minutes of the scheduled appointment time.

* Communicates a professional attitude with clients, visitors and other hospital personnel using language and materials based on the consideration of the client's age, cognitive/physical abilities and/or developmental needs. Assures confidentiality of patient and other hospital information.

* Effectively triage telephone calls and prioritize the needs of the caller.

* Identify individuals calling in crisis situations and expeditiously connect caller to appropriate clinical personnel.

* Recognize the vulnerability of individuals seeking information and consistently demonstrate respectful, sensitive, friendly, professional customer service.

* Apply knowledge of CHI Health levels of care and managed care contracts to facilitate appropriate referrals for individuals inside and outside the Alegent Health system.

* Maintains strict confidentiality of all client information.

* Document pertinent client information in the clinical section of Unicare (CPAD).

Schedules/Registrations:

* Responsible for scheduling, canceling, rescheduling client appointments for physicians, nurse practitioners and psychologists. For therapists, clinic office specialists will be responsible to assist with cancellations and rescheduling appointments. Works directly with physicians/providers in maintaining the accuracy of their schedules. Provides secretarial support to physicians/providers, upon request.

* Collects and records co-payments from patients, including accurate documentation of

* transactions, reconciliation of cash drawer receipts and prepares deposits.

* Collection and Data entry responsibilities include problem identification and resolution of specific data entry functions, to include:

* Verify and update patient registration information and current diagnosis

* Input, verify, update and correct patient demographics

* Faxes insurance information to the Behavioral Business Office

* Record services

* Generate and print daily reports

* Input and update authorizations for all clinicians

* Enter authorizations for inpatient and partial clients (Iowa)

* Obtains initial authorizations for office visits, documents and notifies provider. For physicians, therapists, nurse practitioners and psychologist, clinic office specialists will obtain initial and subsequent authorizations.

* Make reminder calls to clients regarding their appointments.

Medical Records:

* Initiates the pulling, filing and tracking of client charts appropriate to patient care. Checks and prepares charts for the following day and maintains patient charts through established procedures.

* Complies with established policy for Release of Information of pertinent clinical information as requested by the patient or patient legal representative, in a timely manner.

* Prepares clinical charts for transfer to other clinics as requested. Also makes copy charts for clients seen at more than one location.

* Works in collaboration with the provider and Clinic Office Coordinator to discharge clients.

Medication Aide Duties:

* Will complete CPR/BLS certification and recertification.

* Performs clinical procedures which do not require the skill/knowledge or judgment of a licensed professional and which may be safely delegated in accordance with Agency Creighton policies, procedures and state professional licensure requirements. Records and reports any changes in patient condition to licensed health care professionals (doctors, nurses, etc.).

* Performs service procedures and treatments within scope of practice for state and per facility licensure and policy. Performs these activities as assigned:

* Understands and practices confidentiality of information about the patient

* Recognizes the patient's right to refuse medication.

* Follows current standards of hygiene when handling medications.

* Follows safe handling, storage, and disposal of medications.

* Recognizes and reports unsafe conditions for medication provision.

* Accurately documents medication provision.

* Recognizes and reports general reactions to medications.

* Recognizes the limitations of the Medication Aide role.

* Recognizes and knows how to report suspected adult abuse and neglect, and suspected child abuse.

* Recognizes the recipient's property rights and physical boundaries.

* Demonstrates the ability to perform in an accurate and precise manner in crisis and emergency conditions.

* Authorized to make entries in the medical record, consistent with and limited to the scope of the job duties and any applicable licensure.

Hours: Clinic hours Monday-Friday 8a-530p

QUALIFICATIONS:

Experience

Previous experience in a medical setting preferred. Successful completion of a State of Nebraska approved medication aide course.

Education/Licensure

High school graduate or equivalent with specialized training in typing, transcription, medical terminology and record keeping is preferred.

Required: Must be on the Nebraska Health and Human Services Registry as a Certified Medication Aide (40 hour course).

BLS or BLS instructor certification is required upon hire. Acceptable credentialing bodies and certifications include the following: American Red Cross: CPR/AED for the Professional Rescuer, American Safety and Health Institute: CPR, PRO, must say "Professional Level-with AED", and American Heart Association: Basic Life Support for Healthcare Providers.

License Description:

To be a Certified Medication Aide, the individual must be at least 18 years old and be of good moral character. The registration process includes completing an application form and returning it and registration fee to the Nebraska Department of Health and Human Services (Department). Information on the application form includes applicants full name, identifying information such as social security number, age, setting in which the applicant will provide medications, any convictions or pardons of a felony or misdemeanor, and a record of any training and/or competency testing required.

Every three years, competency must be retested and the registration on the Certified Medication Aide Registry renewed. A renewal notice will be sent to each Certified Medication Aide by the Department. It is the Medication Aide's responsibility to keep the Department up-to-date ion the current address. Failure to do so may cause the registration to lapse. To renew a registry, send the completed renewal form, a record of recent competency test, and the required renewal fee to the Department. Knowledge/Skills/Abilities

Must have a strong personal initiative, organizational skills, problem solving skills and customer service skills. Must possess the ability to perform multi-tasks in a high volume work environment.

Must be able to communicate effectively, both in written and verbal form. Must have ability to work effectively with many interruptions. Must have computer skills and ability to use standard office equipment (i.e. phone, copier, fax machine, typewriter etc) and software packages (WordPerfect, Lotus, Microsoft Office, GroupWise). Must possess a positive attitude with a willingness to help others with a cooperative team spirit.
