Summary: The Executive Assistant provides support to the Executive Assistant to the Founding Partner, his wife and children. The Executive Assistant provides a primary source of contact for clients and employees of the firm in all matters pertaining to the people supported. The Executive Assistant will also be responsible for contributing to special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is results-driven and community oriented. The ideal individual has the ability to exercise good judgment in a variety of situations, is able to work under pressure, has strong written and verbal communication, and has strong analytical, administrative and organizational skills as well as the ability to balance multiple priorities. The Executive Assistant will have the ability to work independently, but is also expected to thrive in a team environment.
Essential Duties and Responsibilities:
  • Manage and organize constantly changing calendars
  • Assist with all travel logistics for heavy domestic travel with multiple changes. International travel a few times a year
  • Successfully coordinate meetings and conference calls involving multiple parties across multiple time zone
  • Communicate effectively with clients, employees and those supported
  • Manage and organize ad-hoc projects, including event planning
  • Handle heavy personal assistant work
    Administrative
  • Complete a broad variety of administrative tasks including; scanning, faxing, filing, completing expense reports, entering business cards and composing and preparing correspondence
  • Provide phone coverage to those supported and others as needed
  • Offer backup coverage for Executive Assistant to the Founding Partner when she is out of the office and other members of the Administrative Team as needed
  • Provide support to the Executive Assistant to the Founding Partner for all work generated by the Founding Partner and his family (This support role may change depending on the company's needs)
    Knowledge, Skills and/or Abilities
  • Detail-oriented
  • Excellent written and verbal communication skills
  • Forward looking thinker and problem solver who actively seeks opportunities and proposes solutions
  • Desire to go above and beyond for all required tasks
  • Proven ability to multi-task, effectively prioritize and think of creative solutions under pressure and react quickly
  • Proficient in Microsoft Office (Outlook, Word, Excel and Power Point)
  • Commitment to being a team player and contributing to the MTS culture

    Education and/or Experience:
  • Bachelor's degree from an accredited college or university
  • 5+ years of experience, preferably from within the financial industry
