POSITION SUMMARY The Sr. Project Manager is the primary contact for Clients and is accountable for ensuring that each meeting is managed and delivered in line with Client expectations and requirements. The role of the Sr. Project Manager is pivotal in delivering the professionalism that is synonymous with MCI, crucial to the success factor of the meeting and champions the culture and values of MCI at all times during interaction with the Clients, colleagues, and 3rd party suppliers. DUTIES Takes full accountability in leading a project team, client and suppliers to design and successfully execute world class events as measured by internal and external client satisfaction Liaises with all appropriate internal areas within MCI to provide accurate and up to date information and gives clear direction in terms of what is required by the Client and the timelines for delivering the same Liaises with all appropriate external resources (e.g. hotels, venues, clients) providing regular updates in a timely manner to ensure that they have up to date information at all times Leads the project team in client calls/kick off meetings, addressing discussion points and any issues/concerns the Client may have, reviewing the work of junior team members, and delegating as needed to insure the most effective and efficient use of resources Tracks progress of Project Coordinator to ensure all established deliverables are being met Effectively negotiates and takes accountability of contractual terms with suppliers to ensure budgets are met and cost efficiencies are achieved to add value for the Client, tracked and reported via Cost Savings documentation Provides leadership to Project Coordinator in selecting and coordinating 3rd party vendors Performs site visits as needed Manages post meeting follow up reporting Ensures meetings are in line with all regulatory and compliance guidelines followed by client Oversees the development of meeting materials required by the Client Oversees technical production team for all AV requirements Facilitates slide reviews as required by client Ensures the visibility and presence of MCI representatives at all times during meetings Delivers strategic and expert advice/recommendations gained through professional experience and knowledge during all meetings Mentors and guides other MCI team members Completes all timesheet data and expenses in an accurate and timely manner Leverages industry and client contacts to develop new/organic business opportunities Financial Management Responsible for every aspect of the budget management process Oversee the preparation and maintenance of budgets throughout the lifecycle of each event • Approve client invoices prior processing, as required • Support the Account Director in production and maintenance of the business plan, to maximize profitability of projects including management fees, time costs and secondary revenue (where permitted) • Maximize the efficiency of the team resources and time management, to ensure optimum net margin • Oversee the application of effective scope management - to identify and charge clients for out of scope activities • Ensure that cost avoidance/saving measures are identified, quantified and reported • Ensure financial tracking of each event and conduct regular 'health checks' to ensure positive cash flow • Ensure compliance with company & client invoicing processes • Ensure accurate final reconciliation of events within agreed timelines • Maximize revenue generation from allocated/targeted accounts • Manage and achieve project profitability Performs other related duties as assigned or as necessary. QUALIFICATIONS EDUCATION AND EXPERIENCE Meeting/Event Planning Experience: Minimum of 5 years of pharmaceutical industry experience, in both R&D and Commercial event activities Bachelor's Degree in Event Management, Hospitality or Business preferred CMP-HC/ CMM/HMCC designation preferred TRAVEL Position requires travel up to 50% based on project needs Valid passport required SPECIFIC SKILLS & ABILITIES Client knowledge/structure/products Relevant industry knowledge up-to-date with market changes Knowledge of pharmaceutical meeting industry guidelines Knowledge of CMS Open Payments Act, International Pharma codes, FCPA and Spend Transparency Initiatives Knowledge of web-based registration tools (Cvent) and mobile applications Knowledge of CRM system and Cvent Working Knowledge of Microsoft Office & social media Working Knowledge of WebEx GENERAL SKILLS & ABILITIES Strong leadership and mentoring skills Able to think strategically / quick situational thinking Exhibits high level of business acumen Excellent interpersonal , communication, and presentation skills Extremely high level of attention to detail and organizational skills Proactively strives toward and contributes suggestions for continuous improvement & industry education and is willing to take on extra tasks/responsibilities when required Proven ability to manage multiple projects simultaneously and multitasking and delivering to tight deadlines Thrives in a fast-paced, progressive and dynamic environment Methodical and able to delegate efficiently and effectively, along with the ability to work enthusiastically as a team Comfortable providing feedback to individuals and giving clear, supportive direction where required Proven ability to take initiative and work under pressure in a changing environment Proven ability to operate in a deadline-sensitive environment Ability to maintain confidentiality Ability to adapt to cultural differences and work in a global environment Ability to maintain a flexible work schedule Candidates must be authorized to work in the United States for any employer without sponsorship.
