DESCRIPTION:

Reports to work in a timely manner so to begin work at the appointed time. Presents with a positive attitude and presence. Displays excellent customer service skills in all interactions with internal or external customers. Follows all DOH policies and takes responsibility to report incidents where policies were obviously violated. Stays focused on work and patient care.

REQUIREMENTS:

A Valid Florida driver's license and/or access to reliable transportation

Selected immunizations (MMWR Vol. 46/No.RR-18)

Participation in the direct deposit program within 30 days of employment as mandated per Florida Statute 110.113, 96-310, Laws of Florida

High school diploma or GED is a minimum education requirement.

Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.

MAJOR DUTIES AND RESPONSIBILITIES:

Admissions

Monitor the admission processes ensuring adequate staffing and flow

Update the computer database with current demographic and personal information i.e., name, DOB, phone number, address, and insurance information

Ensure that the proper documentation is obtained from the patient including:

Consent for Treatment form

HIPPA forms

Driver's License

Social Security card

Insurance cards (if applicable)

Validates patient eligibility using FMMIS, and the HMO websites to ensure current doctor coverage Ensures proper forms and labeling are completed and sent into clinic

Refers patients assigned to outside physicians to appropriate doctors

Obtain authorizations when applicable

Appointments

Uses the HMS system to appoint appropriate time slots to patients

Selects day and date patient needs to be seen and enters appointment in appropriate clinic

Verifies all demographic and insurance information before securing appointment slot

Assists appointment clerk when backed up or overflow; assists with Spanish interpreting as needed (if applicable)

Cashier

Uses the HMS system to record patient services from the encounter forms

Bills patient according to their Eligibility

Collects monies as needed and enters tender and amount into HMS

Gives appropriate change if needed

Prints outpatient receipt for all refunds

Ensures that all encounter forms are entered into the HMS in real time completing by the close of business.

Completes deposit following Fiscal guidelines

Completes reconciliation report daily, recreating encounter forms as needed

Takes all issues pertaining to the completion of the encounter forms to the supervisor for follow up

Ensure the 3rd party bills are all sent to audit

Ensure all the UPC and Full Pay clients bills are filed and destroyed after 1 year, following the DOH policy

Scan all encounter forms per the set process

Other Clerical Duties

Prints reports generated by HMS as needed

Answers all telephone and in-person inquires promptly and courteously, directing clients to appropriate areas

Ensure clients/ patients out guides are prepared for next day clinic

Submits timesheets in Peoples' First per requested guidelines

Enters EARS into the HMS system within policy timeframe

Reads and utilizes e-mail daily to ensure proper communication between supervisor and co-workers on work related issues; has e-mail open and minimized on computer monitor

Works an adjustable schedule as needed to meet the needs of the organization
