Position Overview

The Senior Administrative Assistant is an administrative professional supporting both the President of the Settlement Administration business as well as the Director of Human resources. The scope of this role includes, but is not limited to; executive support, administrative contractor staffing coordination and legal services contract compliance initiatives. The Senior Administrative Assistant will be responsible both for a wide variety of day-to-day, tactical tasks in addition to contributing in a meaningful way on various strategic initiatives which support key compliance efforts to support the business. The Senior Administrative Assistant will manage calendars, correspondence and travel to help maximize leadership’s focus on key operational priorities.

Job Responsibilities

Manage executives’ calendar and email.

  • Support the planning and execution of meetings and make travel arrangements
  • Draft correspondence, create and edit presentations, provide reporting as needed to support President.
  • Set up and terminate high volume of contractors in ERP system (SAP). Monitor and report on manager compliance with onboarding and offboarding procedures.
  • Perform periodic auditing and reporting on HR and security related compliance items. Perform remediation efforts to mitigate, resolve and/or update practices as needed.
  • Be key point of contact for staffing agency onsite team regarding billing or other issues that may arise.
  • Ensure confidentiality at all times, as this position will routinely have access to highly confidential information.
  • Maintain availability by email and phone for urgent after-hours needs.
  • Other duties as assigned by the President or HR Director.

Requirements for the role include

A minimum of five (5) year experience as the primary administrative professional supporting an executive level role. Excellent written and oral communication skills, including the ability to draft correspondences and other communications quickly with minimal direction.

  • Keen attention to detail with the ability to track and manage multiple projects at one time.
  • A passion for organization and proactive planning.
  • High level of comfort interacting with all levels within the organization, from senior executives to entry-level associates and making others feel welcome and comfortable.
  • Deep proficiency with Microsoft Word, Excel and Power Point.
  • Self-starter with a successful track record of working independently.
  • Curiosity and a constant interest in learning.
  • Excellent judgment, discretion, and diplomacy.
  • High standard of emotional maturity and personal presentation.
  • High level of energy and enthusiasm.
  • Bachelor’s degree.
