Job DescriptionSUMMARY OF RESPONSIBILITIESThe Executive Assistant is responsible for providing support to the leadership team, including assistance with correspondence, calendar coordination, meeting preparation, record-keeping, and management of special projects as needed. The Executive Assistant needs to possess sound judgment and decision making skills along with the ability to confidentially handle sensitive information.ESSENTIAL DUTIES- Manage complex, changing calendars: schedule and prioritize meetings, appointments, rooms, equipment, catering, and other resources.- Arrange travel and coordinate agendas with applicable parties.- Supervise receptionist and provide backup support on all office tasks, including greeting visitors, answering the main phone line for the corporate office, preparing and printing documents, running errands, preparing courier packages for shipment, and maintaining office supply inventory.- Coordinate company meetings: secure venue/meeting space; handle audiovisual needs, transportation and catering, when appropriate.- Prepare presentations and other documents using MS Office with an emphasis on PowerPoint.- Maintain confidential information and secure access to sensitive company data.- Create, maintain, or update databases and/or database information.- Prepare and submit expense reports; review and approve office-related invoices.- Interact daily with leadership team and supporting staff members. Communicate effectively and efficiently with all levels of the organization.- Complete special projects as assigned with strong follow-up to ensure that all necessary parties are included.- Serve as liaison to property management for the office space. Coordinate facilities requests and ensure work is completed.RequirementsEDUCATION AND EXPERIENCE REQUIREMENTS- Minimum of 2 years of Executive Assistant experience- College degree preferred or equivalent experience- Ability to multi-task, managing assignments and meeting deadlines with minimal supervision- Highly organized with strong attention to detail- Strong analytical skills, good judgment, and proactive problem-solving skills are essential- Must be able to maintain a high degree of confidentiality in all matters- High level of professionalism coupled with strong written and verbal communication skills- At least an intermediate proficiency with the following software products: Outlook, Word, Excel, PowerPoint, Adobe Professional, Vision, and Concur- Ability to work a flexible schedule including some late nights and weekends.WORKING CONDITIONS- Work primarily in a climate-controlled environment with minimal safety/health hazard potential.- Sedentary, sitting, walking, occasional lifting from floor not to exceed 20 lbs.- Frequent near vision use for reading and computer usage.
