Job DescriptionOur client is a busy North Scottsdale real estate firm is seeking a full-time Executive Assistant. We are a vertically integrated company & manage all aspects of real estate including Brokerage, Investments, Property Management & Development. They are looking for someone with a minimum of 3 years EA experience in addition to advanced excel (pivot tables, macros, formulas, etc.) and word processing skills. Our ideal person is versatile, hard-working & can handle multiple moving parts/tasks at one time. Main Job Tasks and Responsibilities- Oversee a variety of transactions for different departments (development projects, typical real estate transactions, fund/loan transactions, etc.)- Assists in overseeing project timelines/deadlines, keeping all parties on track & reporting respective statuses to CFO- Conserves executive's time by reading, researching, preparing, editing and sending correspondence; drafting letters, documents, communications and presentations; collecting and analyzing information; initiating telecommunications. monitoring, screening, responding to and distributing incoming communications- receive and interact with incoming visitors- interact with external clients- Organizing, filing & maintaining compliance of several Fund-s and/or Company-s documents- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel; arrange and co-ordinate meetings and events- Running errands, getting food/refreshments, etc.- Managing company account profiles (utilities, insurance, vendors, etc.)- General Executive support (you may do a variety of things, and each day may be very different)- record, transcribe and distribute minutes of meetings- Supporting Human Resources & Hiring for the CompanyKey Qualities Candidate Must Possess:- Ability to maintain confidentiality - Positive & upbeat, can-do attitude!- Motivated, self-starter with ability to take charge- Strong organizational & planning skills are a must!- Pays attention to detail & has ability to multi-task- Proficient in Microsoft Office (Outlook, Word, & Excel)- Ability to effectively communicate written & orally- Understanding of finance, accounting, and securities transactions a plusRequirementsEducation and Experience - At least 3 years- experience providing executive level support- Expertise in MS Word and Excel. Able to create and manage document changes, proof-reading, editing and formatting content - Basic understanding of financial statements and their structure- Some College HighlightsThis is a full-time salary position, minimum of 40 hrs per week.
