Administrative Coordinator: Calendaring Meeting management (scheduling, logistics, catering, audio conferencing, WebEx setup) Domestic and international travel coordination (flights, hotel, ground transportation, conference  registrations, visa and passport requirements) Expense reporting;  Purchase orders Ordering office supplies   Project Coordinator: HCP Contract Management (for clinical studies/trials, etc). Contract submission HCC Review Supplier IDs. Out of Pocket Expenses – HCP provides receipts for out-of-pocket expenses, and a check request is created in ARIBA.   Consultant Contract Management  Serve as liaison between Contract Department, relationship manager, and consultant.  Prepares execution copies, routes for signature and submits to Contract Department for execution. SOWs and PO’s     Handles new hires, transfers and terminations of JNJ associates, interns, co-ops, contractors and consultants.  Coordinate office moves, and requests for network IDs, computer, phone, voicemail, nameplate, business cards, distribution lists, etc.   Advisory Board Coordination (coordinate and manage advisory boards as requested)       Excellent verbal and written communication skills Exceptional interpersonal skills Experience managing multiple complex calendars Multitasking Work with minimal supervision Strong organizational skills Manage multiple priorities Maintain confidentiality Strong proficiency in MS Office programs Previous experience working with J&J systems (ARIBA, ARAVO, JJTO, gXRS, Totality, etc) Demonstrated proficiency with productivity technology and software (OurSource, WebEx, Global Connect, SharePoint, etc) Possess the ability to anticipate the executives’ needs and collect/prepare information Exercises sound judgment and discretion Independently assess and resolve complex situations with flexibility to respond to shifting priorities Ability to respond on behalf of executives on routine or complex matters   This position is recruited for by a remote Kelly office, not your local Kelly branch.
