Activities
Organizing meetings
Managing calendars
Travel arrangement (air ticket, hotel, itinerary)
Receiving visitors (agenda preparation, logistics arrangement, meeting arrangement)
Arrange Visa/passport
Expense report preparation
Interview onsite support
Screen and prioritize incoming telephone calls/mails/e-mails; handle correspondence and telephone enquires which do not require the supervisor’s attention or refer them to the proper staff
Other misc. tasks assigned by the supervisor
Back up support for Director and Director Admin
Routine support for the team
Fed Ex preparation
New hire onboard support (ordering DWS, account application, visa card application, name badge, name plate…)
Off boarding support
Maintain office material stocks- Non- stock room related
Maintain conference room calendars 1712 & 1714 Building/ Conference room reservation
Stationery/business card ordering
Visa applications
Maintain building maps
Maintain building lobby computer
Global address book list update for new information if exists
Photocopying, faxing for team members
Mail dispersal
Small meeting scheduling
Set up Diamond Video Room meetings
Set up access for site
Set up WebEx/seminars/auditorium
DDGIS Seminar lunch orders
Home and Personal Care Admin support
Focal Point/ Lead/ Team Support
Building Work order input and tracking Focal Point/ Ensure building maintenance is being completed and to standard required
Team focal point
Manage coffee and water account for 1712 & 1714 Building/ Order and maintain coffee supplies for 1712 & 1714 Building
Building KDC (print Owner/Focal Point for 1712 & 1714 Building)
Focal Point for building cleaning staff- Ensure cleaning is up to par 1712 & 1714 Building
WGC- Computer related updates/ printer issues/maintenance
Data book Focal Point (Close out and issue and send to microfiche)
Building tour schedule and coordination Focal Point for 1712
Authorized signer for Visitor Passes 1712 & 1714 Building/ Visitor passes and visitor support
Focal point for office renovation 1712 & 1714 Building
Focal Point for building upgrades

Alarm and AED Scheduler
