Job DescriptionSPECIFIC DUTIES:- Maintains and executes a rapidly changing calendar, ensuring the CEO has all relevant materials and information for each meeting, and ensuring appropriate time is built into calendar for preparation for meetings. - Secures travel arrangements, both local and long-distance, and develops comprehensive travel itineraries that ensure the CEO is fully equipped to meet the demands of the travel schedule while enabling remote decision-making for local and regional travel.- Organizes and maintains a filing system that ensures quick and easy access to information when responding to requests from the CEO, or following up and completing requests made of the CEO.- Interacts with internal executive management, independent Directors, representatives from trade associations, CEOs from other companies, and other external contacts on business and Board matters, screening and evaluating requests for CEO time and information.- Ensures phones are monitored, callers are assisted and appropriately directed.- Prepares correspondence and other presentations, including proof-reading.- Receives incoming mail and faxes, and determines whether documents need to be reviewed by the CEO or redirected. CANDIDATE QUALIFICATIONS:- High degree of emotional intelligence, able to respond to subtle cues and react with situational appropriateness. Adept at proactive problem solving. Not easily flustered.- Outstanding interpersonal skills; comfortable interfacing with a wide range of associates from senior level executives to line managers, ability to collaborate with others to create and sustain positive working relationships, and demonstrated ability to influence at the senior levels.- Ability to think independently and take initiative while seeking direction and assistance when necessary.- Capable of working in a fast-paced and rapidly changing work environment, handling multiple tasks concurrently and efficiently, with the ability to pivot as priorities change.- Excellent communication skills; must be able to communicate clearly and courteously in writing, on the telephone and in person.- Capable of working with discretion and tact in an environment exposed to a high level of proprietary and confidential information.- Adeptness for process and procedure with a keen attention to detail.- Fastidious attention to detail.- Extensive experience in travel, logistics, and meeting planning.- Highly advanced technology skills, including PC skills and high proficiency in MS Office Suite.- Advanced writing and editing skills.
