Job DescriptionThe Administrative Assistant / Receptionist reports directly to the Executive Vice President and Office Manager and provides general services for the office and administrative support to Commercial Retail Brokers.Duties and Responsibilities of the Administrative Assistant / Receptionist include, but are not limited to, the following: Prepare various documents (draft, edit, print): Letters Leases / Contracts Marketing (Listing Flyers, Site Maps & Aerials) Social Media (Facebook, Twitter, LinkedIn) Site Tour Books, which generally includes preparing: Maps marking each prospective site Spreadsheets with information for each site on map Obtaining flyers for each site Assembling and binding all information Update property information on the Listing Flyers, Loopnet, and BPC website Constant Contact - Maintain database (add/remove names & emails as requested). Send out special campaigns/e-blasts/flyers. Maintain contacts and calendars for brokers Conduct research to include: Using County Appraisal District website or calling County Clerks to obtain property ownership information and other appraisal information Research internet for property owner contact information Miscellaneous research as requestedGeneral Receptionist and Office Duties: Telephone duties for multi-line phone system Greet clients, tenants, visitors and vendors Maintain general neatness of officeQualification Requirements:Education or Experience: Associates degree from a two-year college or university; or two year-s related experience and/or training; or equivalent combination of education and experience.Language Skills and Reasoning Ability: Ability to read and interpret documents such as operating and maintenance instructions and procedure manuals. Ability to write correspondence or reports. Ability to speak effectively with Tenants or employees of organization.Other Skills and Abilities: Proficient in the use of personal computer, internet, and Microsoft Office.
