Today, we are proud to offer a temporary opportunity to work as a Department Administrative Assistant for a commercial real estate company in downtown Portland, Oregon.Position Summary:The purpose of this position is to perform clerical duties of moderate complexity in accordance with the office procedures of various departments. This is a temporary assignment scheduled to begin at the end of June and estimated to last through the end of the year.Responsibilities may include any or all of the following:- Perform standard clerical duties including answering phones, bookkeeping, typing, office machine operation, and filing- Type, format, proofread, and edit correspondence and other documents- Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer- Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail- Compile, copy, sort, and file records of office activities and business transactions- Compute, record, and proofread data and other information, such as records or reports- Review files, records, and other documents to obtain information to respond to requests- Communicate with internal and external clients to answer questions, disseminate, or explain information, take orders, and address complaints- Complete work schedules, manage calendars, and arrange appointments- Create a wide variety of template, company-sanctioned marketing materials including maps, advertisements, demographic reports, and executive summary brochures for in-house and client presentations using desktop, graphic, and mapping software- Perform technical duties such as working with multimedia software, setting up audio-visual equipment, initiating video conferences, and/or operating phones and the internet- Perform a variety of facilities and maintenance duties such as processing work orders for maintenance, coordinating moves, taking inventory and ensuring adequate suppliesRequirements:- High school diploma or GED- Minimum two years of related experience- Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding- Ability to write routine reports and correspondence- Ability to respond to common inquiries and concerns from clients, coworkers, and/or supervisor- Ability to effectively present information to an internal department and/or large groups of employees- Basic knowledge of financial terms and principles- Ability to calculate simple figures such as percentages- Basic analytical and problem-solving skillsApply now for immediate consideration!Kelly Services is a Fortune 500® company headquartered in Troy, Michigan.
