The Park City Ticket Scanning team is a tight-knit group of professionals that are passionate about spreading their enthusiasm for our community, our mountain, and snow sports.  Ticket scanners interact with every guest that visits our resort; engaging them as they load the lift, answering any questions they may have, and ensuring every guest has a proper ticket.  The ideal Ticket Scanning Administrative Assistant candidate is detail oriented, structured, flexible, collaborative, and has a passion for providing exceptional internal service, an ability to stay positive during challenging situations, and an eagerness to provide our scanners and guests with the Experience of a Lifetime.

Responsibilities include the following:

  • Schedule and staffing tasks:
    • Create and maintain the season schedule and update bi-weekly schedule.
    • Ensure appropriate staffing according to anticipated business levels.
    • Incorporate and manage staff time-off requests, preferred schedules, and shift swaps into department schedule.
    • Adjust daily staffing levels by contacting additional help and removing extra staff as needed.
  • Departmental HR compliance duties:
    • Manage the hiring process in collaboration with Team Leads (TL) to communicate, interview, and on/off board candidates.
    • Ensure new employee information is updated and integrated into our staffing resources, documents, and lists.
    • Coordinate early, mid, and end-of-season expectation and performance reviews with TL.  Ensure that reviews are completed and filed with HR.
    • Maintain departmental employee files, updating with performance management, schedule, "get to know you," and recognition details.
  • Manage departmental payroll responsibilities:
    • Ensure the accuracy of all employee clock-in/ outs by comparing punches to timesheets, schedule and scan data.
    • Verify all employees clock-in/out within designated timeframe.
    • Log, input, and communicate employee incentive payments.
    • Coordinate with Payroll and manager to resolve any compensation discrepancies.
    • Track and adjust employee timesheets to remove pay for extended ride breaks.
  • Operational support duties:
    • Assist TL with morning tasks and morning meetings as required.
    • Assist with daily operations when necessary.
    • Track and record fraudulent pass incident data.  Prepare information for TL to utilize in discussion with fraudulent pass users.
    • Aid TL and Managers in conducting departmental scanning and fraud audits.
    • Log and record all guest liability forms completed at lifts.
    • Coordinate with ticket office personnel to ensure ticket issue resolution.
  • Scanning leadership and development collaboration:
    • Participate in the planning and execution of employee relations and recognition strategies and tactics.
    • Assist in the collection and tracking of departmental performance metrics.
    • Collaborate in the execution of departmental safety initiatives
    • Help with pre-season and during season training planning and execution.

Qualifications:

  • At least 2 years of guest service experience (required)
  • At least 1 year of administrative experience (preferred)
  • At least 1 year of relevant mountain operations experience (preferred)
  • Proficient with Microsoft Office Suite (PPT, Excel, Outlook and Word), Google Drive (Sheets, Docs and Forms)
  • Ability to quickly learn new software and provide support for other users.
  • Ability to work outside in all weather conditions – including but not limited to snow, extreme cold, and wind.
  • Ability to maintain a calm and professional demeanor at all times.
  • Able to work unsupervised, including establishing priorities, working independently or within a group, and proceeding with objectives without supervision.
  • Ability to work weekends and holidays as necessary.

    • FT: Four (4) set shifts per week. Shifts are typically (10) hours from 7am-5pm.
