Administrative Assistant -- Corporate Development

What You'll Do

This role is within Cisco's Corporate Development & Venture Investment organization, responsible for Cisco's strategy, investment and acquisition activities. This complex and demanding role sits at the epicenter of a dynamic organization managing relationships and communication flow between numerous high-profile stakeholders and decision makers.

In this role, you will provide support for a Senior Director leading several segments of the Corporate Development & Venture Investment team. You will be responsible for calendaring, travel, expenses, external correspondence, and management and oversight of special projects, as needed. To perform these tasks effectively, you will be expected to become familiar with the people, projects, and organizational dynamics within Corporate Development. You will be expected to understand how to handle, with a great degree of independence, incoming requests for time, meetings, resources and other needs from the Senior Director. You will also have responsibility for supporting key members of the Senior Director's team.

You must have excellent personal judgment as you will be responsible for determining when to refer matters to others, and to whom they should be referred. You must be detail-oriented and task-focused, as you will be trusted to follow up and ensure proper disposition of projects and make sure nothing falls through the cracks. Because most of the projects are confidential you must understand confidentiality and have the highest integrity. You will become a core member of the Director's team, attending his regular staff meetings and quarterly all team meetings.

* Calendar Management: Manage calendar by prioritizing schedules and meetings. For example, you will decide who gets on Principal's calendar, which meetings are attended, and who can attend in his place.

* Meeting Planning and Organizations: Assist in planning and organizing meetings by taking responsibility for assembling the agenda, location, meeting technology (WebEx, TP) based on participant needs, and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post meeting action item lists.

* Logistics and coordination: Due to the externally-facing nature of this team, you will be responsible for managing logistics including off-site meetings, booking rooms in 3rd party locations, and incorporating travel time and juggling logistics as appropriate.

* Correspondence/Approvals: You must be able to act as a proxy for communications and approvals as authorized. This includes interfacing with senior executives / CEOs at external companies, if necessary. You must be able to answer general questions as necessary and refer routine matters to appropriate parties and follow up to ensure proper disposition.

* Travel: You will be responsible for making domestic and international travel arrangements. You must be able to carefully consider and decide the optimum travel arrangements and itinerary for calendared meetings while managing Cisco expenses.

* Special Projects: From time to time you will need to provides support and assist on special projects.

Due to the frequent engagements of the Directors across Cisco as a whole, this individual will interface with and coordinate activities with other EA's and Senior Executives in Cisco as well as administrative staff and external executives outside the company. The work is quite often of a critical and confidential nature.

Who You Are

Minimum Qualifications

* 6+ years' experience in an administrative environment. A minimum of two years of experience supporting a principal who was at the Director level and above.

* Must be able to work in San Jose office.

* Excellent verbal and written communication skills including the ability to communicate with all levels of Executive/Senior staff and external stakeholders at the executive level.

* Collaborative style, with demonstrated excellent teamwork capabilities.

* Organized and disciplined working style. Understands the requirements of time-sensitive projects.

* Detail-oriented and able to juggle many priority tasks at once. Proactive by nature.

* Champions improvements. Solves problems and makes decisions. Demonstrates ownership. Positive outlook, can-do attitude.

* Familiarity with Cisco tools and processes is a plus.

* Past work experience in the high-tech industry is desired.

* Expert level knowledge of Mac/Windows desktop computer applications: Outlook, Word, Excel, PowerPoint.
