Job description: As the Administrative Assistant, you are responsible for overseeing all administrative duties within our company. You are “all in” and ready to handle anything thrown at you. You are someone who strives for excellence.

 

Responsibilities:

 

  • Filing and Paperwork:
  • Responsible for filing all employee files and updating company roster
  • Update progress report on all team member workbooks
  • Ensure all employee files are accurate
  • Manage and upkeep all I-9 and immigration compliance forms
  • Keep and update weekly manager schedule
  • Maintain and update company vacation schedule
  • Accounting
  • Enter in all bills and invoices into QuickBooks
  • Oversee payment of all bills and invoices
  • Bank reconciliation
  • Managing Profit and Loss spreadsheets
  • File all invoices and credits
  • Office Management
  • Responsible for day to day functions and needs of office and store teams
  • Liaison between company vendors and Owner
  • Communicate vital information to Management Teams and Store Teams
  • Order office supplies for all stores and office, making sure to not exceed budget
  • Reporting
  • Execute all weekly and annual reports
  • Create any new reports needed by Owner
  • 45 hours a week
  • Create positive and welcoming experiences for both interviewees, new hires and all team members  
  • Join forces with the management team to build a team of excellence
  • Be approachable and visible to team members, especially trainees
  • Have pride in who you are and what you do
  • College Degree preferred
  • Reliable transportation
  • Be able and willing to perform all duties and responsibilities

 

Requirements:

  • Experience with QuickBooks
  • Strong knowledge and understanding of Excel
  • Excellent phone and administrative skills
  • Familiarity with Microsoft Office Suite is a must!
  • Top-notch organization, planning, communication, and interpersonal skills, with strong attention to detail
  • This position requires travel within the region; therefore, all applicants must have reliable transportation, a valid driver's license and car insurance
