PURPOSE OF POSITION:              

    The Personnel Coordinator is responsible for assisting Store and Department Management in the hiring process and for conducting Orientations. He/she is the liaison between the store associates and store support positions. He/she must possess excellent communication skills and maintain effective and productive working relationships with all store associates.  He/she is responsible for modeling the customer satisfaction behaviors, to include being friendly, responsive, knowledgeable and passionate.

 

ORGANIZATIONAL RELATIONSHIPS:             

  • This position reports to: Store Director, Assistant Store Director
  • Positions that report directly to this position:  None

ESSENTIAL JOB FUNCTIONS:

  • Plan staffing needs with Store and Department Management; interview/prescreen prospective applicants; schedule follow-up interviews with Department and/or Store Management and extends offers for employment
  • Direct local recruiting efforts; represent Company at Job/Career Fairs
  • Conduct Orientation Sessions 
  • Monitor and track training of store associates
  • Provide appropriate input into Performance Reviews and record/track associate appraisals 
  • Coordinate and track Leaves of Absences
  • Serve as liaison between Payroll, Benefits, Human Resources, and the store
  • Process associate terminations
  • Maintain accurate associate Personnel Files
  • Maintain Time and Attendance records
  • Prepare for and attend unemployment hearings representing the Company
  • Assist Store Management with documentation relating to discipline, grievances and arbitrations
  • Attend and provide input during meetings with associates and/or the Union; including but not limited to; disciplinary meetings, Loss Prevention investigations and meetings with Stewards and/or business agents
  • Input department schedules
  • Maintain associate bulletin boards and legally mandated postings
  • Assist and follow-up with monthly Service Awards Program and annual Scholarship and Associate of the Year Programs
  • Assist Store Management in maintaining strict compliance with all Federal, State, and Company guidelines
  • Assist in increasing sales by utilizing the five steps of retail selling – Connect with the customer, qualify the customer, present solutions, closing the sale and create a customer for life.

ADDITIONAL JOB FUNCTIONS:

  • Conduct periodic reviews of work practices and provide information to Store Management
  • Achieve other objectives including, but not limited to store file audits
  • Other duties as assigned by Store Management

ASSIGNMENT, REVIEW, AND APPROVAL OF WORK:

  • The Personnel Coordinator works directly for the Store Director
  • Time off requests should be made directly to the Store Director within the appropriate time constraints as dictated by the individual store director’s preference

RESPONSIBILITY AND DECISION MAKING AUTHORITY:

  • Responsible for knowing and understanding all Personnel policies and procedures  
  • The Store Director has the ultimate authority for all decision making
  • Responsible for performing their work in a safe and ergonomically correct manner
  • Any unsafe working conditions must be reported to Store Management immediately

RELATIONS WITH OTHERS:

    Must be able to relate to the following in a courteous and professional manner, demonstrating respect and tolerance of others: o Store associates o Store Management o Potential Applicants

o Other people with whom they have contact while on duty

KNOWLEDGE AND BACKGROUND REQUIRED:

  • Must be at least 18 years old
  • Ability to work independently
  • Ability to prioritize and handle multiple tasks in a fast paced environment.
  • Organizational qualities, including but not limited to: filing, word processing, preparing documents, and producing reports
  • Knowledge of email and Company systems relating to Personnel Management
  • Proficient on Microsoft Word, some knowledge of Excel and Power Point helpful
  • Good understanding of Company personnel policies and procedures   
  • Complete commitment to Company Core Values and Strategic Imperatives
  • Excellent verbal and written communication skills and ability to maintain strict confidentiality  
  • Some on the job training is provided

WORKING CONDITIONS:

  • Usually dry, well lit, well ventilated and comfortably heated or cooled, as needed
  • Occasionally may be cool to cold, damp or wet, hot and humid, if the associate must work outside or in parts of the store where such conditions are normal, or in the event of spills, flooding, or breakdown in the heating or ventilation systems

GENERAL:

  • This may be a full time or part time position
  • The Personnel Coordinator is scheduled to the needs of the store
  • Must be willing to travel within District

MISCELLANEOUS:

    It is important to understand that all Personnel Coordinators must have the ability to deal with some potentially difficult situations (such as dissatisfied associates, issues, or emergencies) and to perform this position in a satisfactory manner.
